This is a fully remote position, open to applicants in United States.
• Deliver dedicated assistance to senior executives within Solace’s leadership team, including C-suite leaders and Vice Presidents.
• Manage complex, multi-time-zone calendars and prioritize meetings based on urgency, impact, and strategic importance.
• Evaluate incoming requests, manage hold blocks, and proactively address scheduling conflicts.
• Facilitate the planning and execution of leadership meetings, team offsites, and large-scale corporate events.
• Act as a representative in meetings, take notes, clarify decisions, and ensure follow-through on action items.
• Compose, edit, and distribute communications on behalf of executives.
• Function as a primary liaison between executives and internal leaders, external partners, vendors, and stakeholders.
• Digest, summarize, and escalate key information, updates, risks, or insights while maintaining strict confidentiality.
• Support leadership operating rhythm through agendas, note-taking, action tracking, and follow-up.
• Develop and enhance systems, templates, and processes that boost executive productivity and organizational effectiveness.
• Oversee end-to-end travel logistics, including itineraries, reservations, and expense reporting.
• Guarantee seamless operational execution during periods of high volume, travel, or rapid change.
• Over 5 years of experience supporting senior executives, ideally at the VP or C-suite level in a high-growth, fast-paced environment.
• Outstanding calendar management, prioritization, and organizational capabilities.
• Strong written and verbal communication skills, with the capacity to draft clear, concise messaging for executives.
• Proven judgment, professionalism, and ability to handle highly confidential information effectively.
• Excellent project management abilities with a strong focus on execution and follow-through.
• Ability to anticipate needs, independently solve problems, and meet deadlines proactively.
• Comfortable operating in a dynamic, sometimes ambiguous environment while maintaining composure and clarity.
• High emotional intelligence and the ability to navigate cross-functional relationships with empathy, tact, and confidence.
