This is a fully remote position, open to applicants in United States.
• Deliver high-level administrative assistance to various executives.
• Organize, coordinate, and manage meetings effectively.
• Handle travel arrangements, correspondence, filing, phone messages, and expense reports.
• Oversee the global meeting calendar for the leadership team.
• Manage the distribution of information and reports.
• Schedule and facilitate functional and executive-level communications and meetings.
• Prepare and refine professional documentation, spreadsheets, reports, presentations, and correspondence.
• Lead and coordinate client and employee engagement events.
• Manage vendors for maintenance and repairs at company-leased or related properties.
• Serve as a liaison between senior leadership and both internal and external stakeholders.
• Assist with project management and task tracking.
• Plan domestic and international travel while managing travel budgets efficiently.
• Organize virtual and in-person meetings.
• Oversee daily executive calendars, communications, overlapping meetings, and conflicts.
• Manage confidential information with discretion and professionalism.
• Provide exceptional customer service to clients and resolve issues promptly.
• Ensure timely responses to inquiries from internal and external clients.
• Support operational efficiencies across cross-functional teams.
• High school diploma or equivalent is required.
• At least 5 years of experience in an executive administrative assistant role.
• Strong ethics and values; known for being trustworthy, direct, and honest.
• Ability to develop and maintain effective relationships.
• Proficient in Microsoft products, including Word and Excel.
• Experience in data analysis, financial reporting, data inventory management, and program auditing.
• Capable of organizing multiple complex tasks and competing priorities with accuracy.
• Ability to collaborate effectively within cross-functional teams.
• Resourceful with a strong initiative and solution-oriented mindset.
• Demonstrated experience supporting and working with senior/executive-level leadership.
• Strong attention to detail.
• Must pass a post-offer drug and alcohol test in compliance with Federal regulations.
• Subject to random testing as a condition of ongoing employment.
• Bachelor’s degree from an accredited institution is preferred.
• Corporate experience in a matrix organization is preferred.
• Experience in supporting executive personnel within the industrial sector is preferred.
