This is a fully remote position, open to applicants in Poland.
• Oversee the calendar of the EVP Global Delivery, managing multiple time zones, resolving scheduling conflicts, safeguarding focus time, and highlighting urgent requests.
• Organize and coordinate international travel arrangements, including booking flights, securing hotels, arranging transportation, obtaining visas, creating itineraries, and processing expense reports.
• Serve as a liaison between the EVP Global Delivery, the Executive Committee, delivery teams, and clients.
• Direct requests, communicate decisions and priorities, and synchronize distributed teams across different time zones.
• Prepare materials for Board and Executive Committee meetings by gathering inputs, compiling meeting packets, recording minutes, and tracking action items.
• Create agendas, distribute pre-reading materials, take minutes, and follow up with action owners during delivery leadership meetings.
• Maintain a comprehensive tracker of delivery commitments, project milestones, client deliverables, escalations, and cross-functional dependencies.
• Provide regular status updates that emphasize items at risk.
• Manage sensitive information related to the company and clients with the utmost confidentiality.
• Execute other responsibilities as reasonably required in line with the role.
• A minimum of 5 years of experience in an executive assistant or senior administrative position directly supporting upper management.
• Ideal candidates will have experience assisting delivery, operations, or client-facing leadership.
• Proven track record of supporting C-suite and board-level executives with notable achievements.
• Strong organizational capabilities to effectively juggle multiple priorities and stakeholders.
• Outstanding written and verbal communication skills in English.
• Proficiency in Spanish, Ukrainian, or Russian is advantageous.
• Ability to uphold strict confidentiality and manage sensitive company and client information.
• Experience in managing international executive travel logistics, including flights, accommodations, visas, itineraries, travel budgets, and expense management.
• Proficient in Microsoft Office and various productivity and collaboration tools.
• Quick to learn new software and systems.
• Familiarity with delivery or project environments, including project governance, milestone tracking, and client reporting is a plus.
• Comfortable collaborating with remote and distributed teams across various time zones.
