This is a fully remote position, open to applicants in United Kingdom.
• Assist Dwelly's leadership team in establishing the company's Executive Assistant (EA) function from its inception.
• Create a framework that optimizes the executive team's time while alleviating administrative and operational burdens in both professional and personal aspects.
• Take charge of the calendar, inbox, and daily workflow for senior leadership, proactively anticipating their needs.
• Facilitate complex scheduling involving multiple stakeholders across different time zones.
• Develop briefing materials, agendas, and follow-up items for critical meetings.
• Oversee travel arrangements, expense management, and administrative processes.
• Serve as a trusted gatekeeper for the principal's focus and attention.
• Build and lead a team of EAs dedicated to supporting the leadership team from the ground up.
• Establish the framework, standards, and quality expectations for the EA function.
• Recruit, onboard, mentor, and develop EAs as the team expands.
• Create processes and tools that ensure consistent and efficient operational practices for the team.
• Over 10 years of experience as an Executive Assistant, preferably in a dynamic startup environment or supporting senior executives.
• Demonstrated experience in managing or leading a team of EAs.
• Proactive and self-sufficient, capable of anticipating needs, identifying potential issues before they occur, taking initiative, and driving tasks to completion with minimal guidance.
• Outstanding organizational abilities with the capacity to juggle multiple priorities while maintaining keen attention to detail.
• Strong sense of ownership and a problem-solving mindset, focusing on solutions rather than merely escalating issues.
• Excellent attention to detail.
• A collaborative team player who can work effectively across the organization while independently managing their workload and responsibilities.
• Outstanding written and verbal communication skills, capable of engaging effectively with a diverse range of stakeholders.
• Proficient in modern productivity and collaboration tools, including calendar management, email, project management, and similar applications.
• High levels of integrity, professionalism, and discretion, with the ability to manage sensitive and confidential information appropriately.
• A genuine, long-term dedication to the EA profession (preferred).
• Experience in event planning (preferred).
