This is a fully remote position, open to applicants in United States.
• Act as an essential collaborator with the leaders of the Client Medical Director and Medical Policy Director team.
• Provide administrative assistance to ensure smooth operations.
• Coordinate and oversee complex calendars across various time zones.
• Schedule both internal and external meetings with partners and clients.
• Organize virtual and onsite departmental gatherings, including sourcing offsite venues, preparing agendas and materials, and managing logistics.
• Arrange domestic travel, encompassing flights, accommodations, and ground transportation.
• Prepare comprehensive itineraries and manage expense reporting.
• Offer office and project support for cross-functional initiatives.
• Assist in the creation of presentations, reports, and documentation.
• Coordinate meetings, calendars, and data requests throughout the organization.
• Take minutes and notes during meetings and track action items until completion.
• Support new-hire setup and onboarding logistics.
• Monitor departmental budgets and process invoices and purchase orders.
• Organize team offsites and recognition or milestone celebrations.
• Manage HR-related and strategic information with confidentiality.
• Complete special projects and other assigned responsibilities.
• A minimum of 7 years of demonstrated experience as an administrator.
• Bachelor's degree in Communications, English, Marketing, or relevant job experience.
• Advanced proficiency or higher across the MS Office suite, including Outlook, Word, Excel, and PowerPoint.
• Strong aptitude for learning new systems and processes.
• Exceptional written and verbal communication skills.
• Strong organizational skills with the ability to prioritize tasks effectively.
• Capability to work independently with minimal supervision.
• Willingness to travel as required, with current expectations of a minimum of 4 days twice a year.
• Must ensure a dedicated, secure workspace.
• Must provide high-speed internet access/connectivity as well as an office setup and maintenance.
