This is a fully remote position, open to applicants in Canada.
• Carry out administrative and clerical duties, including financial and human resources administration.
• Offer professional assistance to one or more managers along with their direct reports.
• Deliver general office services while adhering to administrative, operational, and control standards.
• Assist in strategic initiatives by monitoring metrics and milestones.
• Foster relationships with both internal and external stakeholders.
• Evaluate data and information to provide insights and recommendations.
• Oversee the planning, coordination, and execution of departmental events.
• Provide specialized professional support to an executive and senior management.
• Coordinate and oversee budgets, reporting results in comparison to the budget.
• Mentor and coach junior administrative assistants.
• Manage calendars, events, meeting invitations, rooms, and meeting resources.
• Create and maintain filing systems and documentation.
• Write, edit, and disseminate customized communications.
• Handle the central phone line and address or escalate inquiries as necessary.
• Process invoices and manage expense claims and reports.
• Monitor expenses against budgets.
• Arrange business travel, including flights and accommodations.
• Coordinate office premises, building matters, relocations, office planning, and furniture needs.
• Maintain inventory of supplies and place orders as required.
• Document and manage vacation and absence scheduling.
• Oversee staff training requirements.
• Organize work information to ensure accuracy and completeness.
• Address escalations from other employees.
• Make informed, risk-conscious decisions that safeguard assets and align with business strategy.
• Generally 3–5 years of experience in an administrative or professional support role.
• A post-secondary degree in a relevant field of study is preferred.
• Specialized knowledge in the field.
• Strong verbal and written communication abilities.
• Excellent organizational skills.
• Effective collaboration and teamwork skills.
• Proficient analytical and problem-solving skills.
• Capacity to manage complex and varied tasks within set rules and limits.
• Ability to assess issues and determine subsequent steps.
