This is a fully remote position, open to applicants in Louisiana.
• Maintain structured systems for documents, files, and records to ensure the effective operation of the President's office.
• Organize logistics for meetings, offsite events, and executive gatherings, which includes selecting venues, arranging catering, and preparing necessary materials.
• Plan and manage both domestic and international travel itineraries, proactively anticipating needs and addressing any conflicts.
• Schedule and coordinate both internal and external meetings, including US&G leadership meetings and special team offsite events.
• Prepare agendas, presentation materials, and briefing documents in advance of important meetings.
• Collaborate with internal teams and external partners to organize company events and leadership engagements.
• Draft, proofread, and oversee correspondence on behalf of the President, ensuring precision and professionalism.
• Prepare briefing materials, talking points, and follow-up summaries for meetings involving internal stakeholders, clients, and the Board of Directors.
• Monitor action items from meetings and follow up to guarantee timely completion.
• Assist with special projects and initiatives for the President, keeping track of deadlines and deliverables.
• Collaborate with leaders and teams across departments and global offices to align priorities and ensure coherence.
• Serve as a liaison between the President's office and both internal and external stakeholders, including ELT, clients, and Board members.
• Manage the President's intricate calendar, prioritizing and coordinating schedules across various time zones and global teams.
• Address daily administrative needs, such as reporting, travel arrangements, and general office support.
• Act as the primary point of contact for the President, screening and prioritizing inquiries, calls, and requests.
• Assist the President and Executive Assistant to the CEO with facility management tasks as needed, including scheduling maintenance, cleaning, catering, etc.
• Experience working as an Executive Assistant or in a comparable administrative role.
• Proven ability to manage highly confidential information with sound judgment and discretion.
• Excellent interpersonal, written, and verbal communication abilities, capable of engaging effectively with clients and board-level stakeholders.
• Exceptional organizational skills and a keen eye for detail.
• Strong project management capabilities with the aptitude to juggle multiple priorities in a dynamic environment.
• Proficient in Microsoft Office, calendar management, and travel coordination tools.
• Bachelor's degree preferred or equivalent professional experience.
