This is a fully remote position, open to applicants in Canada.
• Oversee the annual event calendar, managing approximately 55 events and adjusting as necessary each quarter.
• Execute and manage all logistics for events, including vendor coordination, event liaison, booth construction, marketing materials, registration processes, exhibitor profiles, passes, VAT handling, procurement, shipping, and promotional items.
• Administer event contracts, agreements, invoicing, and reconciliation of out-of-pocket expenses using Ramp.
• Facilitate communication between sales and event teams via dedicated Slack channels and approval processes.
• Assemble onsite teams and ensure smooth execution from the planning stage through the event itself.
• Collaborate with data and operations teams to submit lead lists prior to events and manage lead distribution afterward.
• Gather and analyze post-event feedback, including surveys and sales insights regarding lead quality.
• Provide briefs to creative and design leads for booth and print materials in coordination with the Content & Social Lead.
• Co-manage and continuously enhance the event operations playbook and standard operating procedures (SOP).
• Practical experience in B2B field events.
• Proven ability to manage booths, vendor relationships, and event logistics while meeting tight deadlines.
• Exceptional communication skills and a passion for coordination tasks.
• Strong organizational abilities, including calendar management and system development.
• Experience in managing contracts, invoicing, and expense reconciliation.
• Capability to independently handle sales approval processes and coordinate onsite teams.
• Skill in creating repeatable systems and documenting processes.
• Willingness to travel for work-related events once or twice annually.
• Preferred background in the travel industry, marketplace businesses, or community-driven growth models.
• Familiarity with HubSpot and event return on investment (ROI) tracking is preferred.
• Experience in developing or scaling an event playbook/SOP is preferred.
• Proficiency with AI tools to automate aspects of the event workflow is preferred.
• Must have legal authorization to work in Canada; visa sponsorship and relocation assistance are not available.
