This is a fully remote position, open to applicants in United States.
• Manage the daily operations of the clinical practice to ensure a consistent and high-quality patient experience.
• Identify workflow challenges and implement solutions proactively to prevent any negative impact on patients or providers.
• Collaborate with department leaders to enhance operational efficiency throughout the organization.
• Lead, mentor, and develop the Patient Care Coordinator team; conduct one-on-one meetings, performance evaluations, and coaching sessions.
• Assist with hiring, onboarding, and training as the team expands.
• Supervise patient onboarding, renewals, offboarding, transitions to clinical care, and resolution of service issues.
• Manage operational workflows using Monday.com, EMR, Spruce, Google Workspace, and other relevant platforms.
• Maintain dashboards, reporting, data integrity, and operational metrics.
• Create, document, and uphold standard operating procedures (SOPs); standardize workflows and spearhead new operational initiatives.
• Monitor physician capacity, onboarding speed, renewal pipeline health, and operational deliverables.
• Ensure compliance with HIPAA and relevant healthcare regulations.
• Oversee physician credentialing, licensing, DEA renewals, Medicare documentation, malpractice coverage, and compliance records.
• Lead the Compliance Committee and coordinate quarterly compliance initiatives.
• Collaborate with Finance, Legal, and external consultants to address risk and regulatory requirements.
• Work with Finance on invoicing, accounts payable, insurance renewals, vendor management, and budgeting.
• Support revenue cycle operations and address patient billing inquiries.
• Manage operational vendors.
• Report directly to the COO.
• 10–15+ years of leadership experience in healthcare operations.
• A Master's degree is preferred (MHA, MPH, MBA, or similar).
• Proven experience leading operations in a telehealth or remote healthcare organization.
• Experience managing multidisciplinary teams in a rapidly growing environment.
• In-depth knowledge of healthcare operations, HIPAA regulations, physician credentialing, licensing, compliance, and regulatory requirements.
• Demonstrated experience in developing operational processes, SOPs, dashboards, and reporting systems.
• Strong project management and organizational skills with the capability to manage multiple priorities effectively.
• Comfortable working across different departments and ensuring teams meet their operational commitments.
• Familiarity with EMRs, CRMs, Monday.com, Google Workspace, and other operational software.
• Excellent written and verbal communication skills.
• Organized, pragmatic, and adept at making decisions in a fast-paced environment.
• Ability to establish order, solve problems, enhance team workflows, follow through on commitments, and attend to detail.
