This is a fully remote position, open to applicants in Philippines.
• Reach out to courts to verify case specifics, statuses, filing details, court dates, times, and locations.
• Authenticate information utilizing approved court resources and accurately document findings.
• Detect discrepancies and escalate them as necessary.
• Update case management systems with confirmed information.
• Draft standardized motions and other documents by utilizing approved templates and case details.
• Adhere to firm protocols regarding formatting, naming conventions, filing, and quality control.
• Monitor pending motions and track their status.
• Request discovery and records from courts, agencies, prosecutors, law enforcement, and other authorized entities.
• Follow up on outstanding requests diligently.
• Download, organize, and upload discovery materials, videos, offense reports, PC affidavits, and other relevant case documents.
• Ensure that materials are complete and linked to the correct client and matter.
• Conduct New Case Contract Verification in accordance with established procedures.
• Locate and confirm cause numbers and update case records accordingly.
• Assist with administrative tasks related to LOR/MTSC.
• Identify missing or inconsistent information and direct issues to the appropriate Specialist Legal Assistant or supervisor.
• Provide task-based support to Specialist Legal Assistants across various attorneys, regions, and caseloads.
• Handle multiple assignments based on deadlines, priorities, and operational requirements.
• Maintain precise and timely updates in firm systems.
• Communicate proactively when information is unavailable, if a task cannot be accomplished, or if further action is needed.
• Safeguard confidential client and case information while adhering to firm data-handling and security policies.
• A minimum of 5 years of experience in administrative, legal support, customer service, clerical, or case-management roles within an international company or for international clients.
• A reliable PC/laptop, stable internet connection, and a suitable work-from-home setup.
• Willingness to work during night shifts, weekends, and holidays.
• Excellent written and verbal communication abilities.
• Strong attention to detail along with robust organizational skills.
• Capacity to work independently while managing multiple priorities.
• Proficiency in using computers and various software systems.
• Ability to handle confidential information and meet deadlines effectively.
• Preferred: Experience in a law firm, legal services organization, court, government agency, or a similar setting.
• Preferred: Familiarity with legal terminology, court procedures, discovery processes, motions, or case-management systems.
• Preferred: Experience in communicating with courts, government agencies, or other legal stakeholders.
• Preferred: Experience in a high-volume, deadline-driven environment.
