This is a fully remote position, open to applicants in Philippines.
• Perform conflict checks and initiate new matters within the practice management system.
• Dispatch engagement letters and fee estimates to prospective clients.
• Complete AML/CFT verification processes, including identification, proof of address, and documentation of the source of funds.
• Draft legal documents based on verbal and written instructions, such as sale and purchase agreements, loan agreements, and company and trust minutes.
• Compose correspondence and client communications as instructed by partners and solicitors.
• Oversee commercial and residential conveyancing transactions from conditions to settlement.
• Provide advice on and monitor conditions such as finance, LIM, builder's reports, and due diligence.
• Negotiate changes to agreements as necessary.
• Gather instructions to verify satisfaction or waiver of conditions, including finance and insurance coverage.
• Communicate with internal staff and third parties regarding the status of conditions.
• Prepare settlement statements and request mortgage instructions from lenders.
• Organize the signing of loan and authority documents.
• Coordinate with lenders and the vendor's solicitor to finalize settlement arrangements.
• Conduct pre-settlement title searches and ensure funds are accessible in the trust account.
• Inform clients and agents about successful settlements.
• Issue reporting letters and final transaction documents to clients.
• Execute trust account reconciliations.
• Liaise with banks, insurance firms, Land Information New Zealand (LINZ), and local authorities on behalf of clients, partners, and solicitors.
• Prepare client invoices and statements.
• Maintain precise file notes and ensure timely follow-ups on outstanding issues.
• Close completed files following firm protocols.
• Complete company annual returns and resolutions.
• Conduct title searches and manage LINZ registrations.
• Perform any additional tasks assigned by the Partners as needed.
• At least 2 years of experience in a conveyancing or property law setting, ideally within New Zealand.
• Comprehensive understanding of the New Zealand conveyancing process, including LINZ dealings and e-dealing platforms.
• Familiarity with AML/CFT compliance procedures.
• Advanced proficiency in Microsoft Word and Outlook, and intermediate knowledge of Excel, alongside experience with legal practice management software.
• Exceptional attention to detail, capable of managing multiple files and deadlines concurrently.
• Outstanding written and verbal communication skills, coupled with a professional and approachable demeanor.
• Ability to accurately interpret instructions from partners, solicitors, and clients and act independently.
• A legal studies qualification or equivalent practical experience is preferred.
