This is a fully remote position, open to applicants in North America.
• Assist the Client Solutions team in enhancing the financial performance and success of the account portfolio.
• Oversee staffing and labor management on project timelines.
• Create pricing and scope documents while ensuring effective internal planning and delivery of project outputs.
• Collaborate with Group Directors, Managing Advisors, and various stakeholders.
• Direct the development, management, and delivery of defined deliverables.
• Evaluate resource allocation and profitability levels.
• Influence internal workflows and operational benchmarks.
• Supervise account performance, focusing on labor tracking, billing accuracy, risk management, and adherence to scope.
• Ensure that scopes, deliverables, and services align with business objectives.
• Conduct impact assessments for scope modifications and suggest subsequent actions.
• Manage client scopes of work, cost estimates, contracts, and billing requirements.
• Lead retrospectives, document insights gained, and enhance portfolio management processes.
• Balance primary responsibilities with additional client and internal initiatives.
• Offer peer support and handle overflow workloads.
• Monitor company capacity, personnel assignments, resource shortages, and upcoming workloads.
• Resolve resource conflicts and maximize utilization across accounts.
• Assist in resource allocation, tracking, and prioritization.
• Compare project or retainer actuals against SOW hours, deliverables, or project counts.
• Drive efforts to meet project goals and accurately estimate task and project durations and complexities.
• Ensure project tasks are completed within the defined scope, timeline, budget, and quality standards.
• Support comprehensive account workflows, time management, scope delivery, and risk prioritization.
• Anticipate potential issues and obstacles, devise contingency plans, and propose solutions.
• Maintain process documentation, operational guidelines, production calendars, timelines, and reports.
• Organize internal and client meetings while managing documentation, file structures, and naming conventions.
• Oversee team schedules, deadlines, reporting workflows, and client reporting calendars.
• Identify opportunities for procedural enhancements and collaborate with others to implement them.
• Cultivate client relationships and participate in client meetings.
• Evaluate performance against established goals.
• Collaborate with Group Directors and Client Services on SOWs and staffing strategies.
• Create and review project or retainer cost estimates and monitor actuals against the budget.
• Analyze burn reports, track contribution margins, and recommend necessary adjustments.
• Keep meticulous records of scope changes.
• Manage financial milestones and coordinate payment reconciliations with the finance team.
• Engage in monthly finance and billing reviews.
• Work collaboratively across teams, including global teams, to foster operational excellence.
• Support company collaboration efforts, archival processes, and financial tools and systems.
• 6-8 years of experience as a Project Manager, Senior Project Manager, or in a similar role within the advertising/marketing sector.
• PMP Certification (Project Management Professional) or active pursuit of certification is preferred.
• Proficient in Google Workspace.
• Familiarity with Deltek Workbook or other Deltek products is advantageous.
• Outstanding communication skills, both verbal and written.
• Highly organized, detail-oriented, and adaptable.
• Composed and focused under pressure; possesses assertive conflict-resolution and problem-solving abilities.
