This is a fully remote position, open to applicants in United States.
β’ Act as the primary point of contact for Nurse Practitioners (NPs) and Sprinters regarding inquiries about timesheets, mileage, and documentation.
β’ Follow up on timesheet submissions, PTO requests and approvals, as well as sick leave prior to payroll closure.
β’ Verify weekly mileage and hours in accordance with established policies and protocols.
β’ Review and summarize supporting documents for mileage and time submissions.
β’ Approve expenses within designated parameters.
β’ Gather data and monitor peer audits and bonus incentives.
β’ Provide weekly exception reports to managers with comprehensive documentation.
β’ Manage attendance, call-off, and workforce planning trackers.
β’ Monitor training completions and annual compliance for clinical teams.
β’ Compile weekly and monthly operational reports.
β’ Assist with logistical planning for the workforce.
β’ Maintain dashboards, trackers, and workforce metrics.
β’ Oversee administrative escalation trackers and follow up on outstanding items.
β’ Direct non-clinical operational issues to the appropriate teams.
β’ Keep standard operating procedures (SOPs), workflows, and operational documentation up to date.
β’ Monitor project milestones and action items while supporting the launch of new workflows.
β’ Engage in internal audits, pinpoint documentation deficiencies, and suggest process enhancements.
β’ Identify recurring workflow challenges and recommend solutions.
β’ Ensure confidentiality and comply with HIPAA and other regulatory standards.
β’ Reports to the Director of Quality & Training.
β’ Minimum of 2 years in an operations, coordination, or administrative support position.
β’ Experience in managing multiple workflows, trackers, or reports concurrently.
β’ Comfortable working autonomously and remotely with limited daily supervision.
β’ Excellent communication and problem-solving abilities.
β’ Proficient in electronic health record (EHR) systems and Google tools.
β’ Must have a reliable internet connection and a secure, dedicated workspace.
β’ Availability to work during Central Standard Time (CST) hours.
β’ Preferred: experience in healthcare operations, medical group administration, or home health/home care.
β’ Preferred: familiarity with multi-state payroll or leave compliance.
β’ Preferred: experience supporting a distributed or regional field team.
β’ Preferred: previous use of Rippling or a similar human resources information system (HRIS) platform.
