
Client Onboarding Analyst – New Plans

This is a fully remote position, open to applicants in United States.
• Oversee a designated pipeline of new 401(k) plan cases from the initial contract phase through to the launch on Ubiquity’s platform.
• Monitor cases against set milestones and service level agreements (SLAs) utilizing Salesforce and internal case management systems.
• Prepare plan documents based on chosen plan design options, ensuring compliance with ERISA, IRS, and DOL regulations.
• Review and validate plan design selections, identifying discrepancies or missing information.
• Set up trust accounts and confirm that investment selections are appropriately configured.
• Keep precise records, notes, and milestone documentation in Salesforce and Ubiquity’s recordkeeping system.
• Coordinate the requirements for payroll setup, including contribution data, employee census details, and payroll schedules.
• Assist plan sponsors in navigating the payroll-system connection and integration processes.
• Supervise initial payroll submissions, address contributions, eligibility, and file-format discrepancies, and escalate unresolved issues.
• Act as the primary contact for plan sponsors, financial advisors, and Third Party Administrators.
• Conduct kickoff meetings and provide updates based on milestones, platform education, and onboarding assistance.
• Collect necessary documentation, signatures, and plan choices.
• Ensure that setup tasks meet ERISA, IRS, and DOL standards.
• Review completed setup tasks for accuracy and rectify errors prior to go-live.
• Stay informed on IRS and DOL regulations, contribution limits, and provisions of the SECURE Act.
• Uphold and implement Ubiquity security policies and procedures.
• Collaborate with internal teams and partner with Sales and Client Experience to ensure seamless transitions.
• Identify opportunities for process enhancements and assist colleagues during peak periods.
• Preferred experience in the 401(k) or retirement plan sector, particularly in new plan setup, implementation, plan documentation, or design.
• Familiarity with 401(k) plan design and administration, including Safe Harbor, traditional 401(k), Profit Sharing, ERISA standards, and IRS contribution limits is advantageous.
• Knowledge of payroll integrations, contribution files, census data, and digital onboarding workflows is a plus.
• Experience in a fintech, SaaS, or tech-driven setting, including API-based integrations or cloud-based recordkeeping platforms, is preferred.
• Experience conducting onboarding or plan setup consultations with plan sponsors and financial advisors is preferred.
• Proficient in CRM and workflow management tools like Salesforce and Asana; familiarity with recordkeeping, plan documentation, compliance testing, or Form 5500 platforms (e.g., FT Williams, ASC) is beneficial.
• Strong skills in Microsoft Office, especially Outlook, Excel, and Word.
• Excellent attention to detail and capability to manage a high-volume case pipeline while ensuring accuracy and meeting SLAs.
• Outstanding written and verbal communication abilities with a professional, client-centered approach.
• Capability to work both independently and collaboratively, exercising sound judgment and escalating issues as needed according to established protocols.
• QKA designation or active pursuit of ASPPA or NIPA credentials is a plus.
• Bachelor’s degree or equivalent combination of education and experience is required.
