This is a fully remote position, open to applicants in United States.
• Collaborate on New Plans, Conversions, and client servicing according to volume, coverage requirements, and onboarding priorities.
• Oversee assigned cases, segments of cases, or temporary coverage until completion, adhering to established milestones and Service Level Agreements (SLAs).
• Evaluate case status, outstanding requirements, risks, and action items.
• Maintain precise case notes, milestone documentation, and communications within Salesforce and Ubiquity systems.
• Assist with new plan setups from contract signing to go-live, including review of plan design, document preparation, trust and investment setup, payroll integration, client education, and readiness for first contributions.
• Facilitate plan conversions up to go-live, including reviewing the plan and previous recordkeeper, data collection, blackout coordination, asset transfer activities, reconciliation support, and tracking milestones.
• Coordinate efforts with plan sponsors, advisors, Third Party Administrators, and previous recordkeepers.
• Detect missing information, discrepancies, or risks and resolve routine issues or escalate complex matters as necessary.
• Conduct or provide coverage for onboarding and conversion meetings.
• Offer inbound phone coverage and address routine inquiries from sponsors, advisors, and clients.
• Assist in case escalations, document management, follow-up on outstanding items, and calendar coverage.
• Ensure smooth transitions during coverage changes.
• Execute tasks in compliance with established procedures and relevant ERISA, IRS, and DOL regulations.
• Maintain audit-ready case documentation and adhere to Ubiquity security policies and procedures.
• Collaborate with teams including New Plans, Conversions, Client Experience, Payroll, Compliance, Sales, Financial Operations, and others.
• Identify workflow gaps, client inquiries, or bottlenecks and present process-improvement opportunities to onboarding leadership.
• Minimum of 3 years of experience in the 401(k) or retirement plan industry is required.
• Experience in plan onboarding, implementation, conversions, recordkeeping, or client service is strongly preferred.
• Working knowledge of 401(k) plan design, plan documents, payroll integration, and retirement plan administration.
• Familiarity with ERISA, IRS, and DOL requirements is preferred.
• Capability to learn and retain procedures across various functions and adapt between workstreams based on changing business priorities.
• Experience in conducting client-facing calls or meetings with plan sponsors, financial advisors, Third Party Administrators, or other external partners is preferred.
• Proficiency in Salesforce or similar CRM/case management tools and Microsoft Office.
• Experience with retirement plan recordkeeping, compliance testing, document management, or Form 5500 systems is a plus.
• Excellent written and verbal communication skills, along with strong organizational, problem-solving abilities, and attention to detail.
• Ability to manage high-volume work and adapt to changing priorities.
• QKA designation or active pursuit of ASPPA or NIPA credentials is preferred.
• Bachelor's degree or equivalent combination of education and experience.
• Availability to work from 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m. Pacific Time.
