This is a fully remote position, open to applicants in New York.
• Act as a strategic advisor to the Executive Director regarding organizational priorities and critical decisions.
• Oversee internal planning and execution across various operational sectors.
• Collaborate with the Board of Directors, including preparation for meetings, governance documentation, and tracking board action items.
• Manage the entire employee lifecycle, encompassing onboarding, benefits administration, compensation updates, leave management, and performance evaluations.
• Supervise the recruitment and hiring processes for both staff and contractors.
• Administer monthly payroll updates, compensation changes, and processing of union dues through Justworks PEO.
• Act as the management liaison for the implementation of the collective bargaining agreement.
• Coordinate communications with union representatives regarding personnel and operational issues.
• Lead labor-management meetings, prepare for negotiations, and implement agreed-upon contracts as necessary.
• Ensure that HR policies and procedures align with the collective bargaining agreement and employment regulations.
• Promote a healthy, inclusive, and high-performing organizational culture.
• Guide audit preparations in collaboration with the organization’s accountant and auditor.
• Conduct and deliver monthly financial reviews.
• Reconcile monthly bank and credit card statements while maintaining financial tracking systems.
• Lead the annual budgeting process, revenue forecasting, and long-term financial planning.
• Oversee management of government grant contracts, ensuring compliance and timely reporting.
• Support strategic initiatives and relationship management for City, State, and institutional funding opportunities.
• Prepare and compile grant proposals, reports, briefing materials, and fundraising documents.
• Track funding opportunities, deadlines, reporting requirements, and relationships with funders.
• Partner with the Executive Director on communications, cultivation, and stewardship of funders.
• Facilitate planning and collaborative sessions with community partners, legal service providers, government agencies, and external stakeholders.
• Represent JustFix at meetings with partners, conferences, and external events.
• Manage and enhance the operational technology stack, including Google Workspace, Slack, Justworks, QuickBooks, and Zoom.
• Oversee vendor and consultant relationships, including procurement, contracts, onboarding, and payment processing.
• Enhance organizational processes, documentation, and internal systems.
• Coordinate product development and launch activities alongside the product team and external partners.
• Supervise external communications related to product launches, including newsletters and social media outreach.
• Manage the Google Ad Grant and oversee external marketing agencies when required.
• Assist with project timeline management, milestone tracking, risk identification, and launch coordination as necessary.
• Participate in the review of product features, content, and user experience as needed.
• A minimum of 5 years of experience in nonprofit operations, organizational leadership, finance, fundraising, or a related field.
• Practical experience in managing essential administrative functions such as HR, finance, and/or operations.
• Strong skills in project management and systems development.
• Ability to balance high-level strategic thinking with careful attention to administrative details.
• Exceptional writing and communication abilities.
• Experience in creating external-facing documents such as grant proposals or board memos.
• Awareness of labor relations, or proven maturity and judgment to work effectively in a unionized setting.
• A commitment to JustFix's mission of promoting housing justice.
• Preferred experience in civic technology, legal technology, or mission-driven software organizations.
• Familiarity with supporting digital product development or product operations is a plus.
• Experience with government contracts and public funding is preferred.
• Experience in facilitating workshops and multi-stakeholder meetings is beneficial.
• Familiarity with AI-enabled productivity tools and project management software is preferred.
