This is a fully remote position, open to applicants in Philippines.
• Coordinate and prepare documentation for new buyer’s advocate clients and follow up on compliance documents.
• Finalize engagement agreements, invoices, and manage files to completion.
• Gather post-purchase/service feedback from all clients.
• Oversee client gifting initiatives and manage Google reviews.
• Handle onboarding and induction procedures for new employees.
• Maintain leave calendars and schedules for public holidays and out-of-office statuses.
• Prepare employee files, including compliance checks (BLA, Agent’s Rep).
• Develop and implement office policies and procedures.
• Organize training, wellness, and professional development programs.
• Supervise IT systems, including laptops, desktops, and phones.
• Order stationery and office supplies as needed.
• Draft written administration instructions and procedures.
• Coordinate and plan client events.
• Manage incoming calls through the office number and WhatsApp.
• Update Insightly, leads lists, and budget spreadsheets.
• Prepare stock lists, leads lists, and EDM mailouts for Monday meetings.
• Monitor and report on the efficiency and productivity of policies.
• Track data related to sales, leads, lost business, opportunities, and feedback.
• Create and finalize client files.
• Prepare weekly EDMs and distribute them to the team.
• Inform social media teams with client briefs and new client information.
• Update property reports and Comparative Market Analyses (CMAs).
• Manage Buxton Geelong leads, conversions, invoices, payments, and reporting.
• Handle general administrative overflow tasks as required.
• Achieve established KPIs for documentation accuracy, feedback, onboarding, compliance, IT resolution, events, calls, reporting, EDMs, property reports, and invoice processing.
• Demonstrated experience in business support, office management, or administrative positions.
• Strong organizational abilities and meticulous attention to detail.
• Excellent communication and interpersonal skills.
• Proficient in CRM systems (such as Insightly) and Microsoft Office Suite.
• Capability to manage multiple priorities while meeting deadlines.
• A proactive and problem-solving attitude with the ability to work independently.
