This is a fully remote position, open to applicants in Mexico, +5 more countries.
• Provide weekend intake support by managing a high volume of both inbound and outbound calls.
• Assist families by guiding them through a structured, decision-tree intake form.
• Collect and accurately record patient and family information in Lumary.
• Clearly and compassionately explain the requirements and next steps of the intake process.
• Follow up with families to secure any missing referrals, diagnosis paperwork, insurance information, and other necessary intake documents.
• Build positive, professional relationships with families and act as a dependable point of contact throughout the intake procedure.
• Handle intake-related faxes by uploading documents to the appropriate patient profile.
• Send fax requests for any missing documentation as needed.
• Ensure patient records are accurate, organized, and compliant with HIPAA regulations.
• Escalate complex intake issues or cases according to established protocols.
• Complete assigned tasks autonomously while adhering to company workflows and documentation standards.
• Minimum of 1 year of prior experience in ABA services, healthcare, behavioral health, or patient intake.
• Experience managing phone-intensive tasks that involve both inbound and outbound calls.
• Familiarity with Lumary and Salesforce is preferred.
• Strong background in communicating effectively with families, patients, or caregivers.
• Ability to convey information with compassion, patience, professionalism, and care.
• Capacity to follow structured intake forms and decision-tree workflows with minimal oversight.
• Excellent verbal and written communication abilities.
• Proficient in managing follow-ups and maintaining organized patient records.
• Professional demeanor when engaging in sensitive and patient-facing interactions.
• Availability to provide coverage on weekends.
• Experience in collecting referrals, diagnosis documents, and insurance information.
• Must be able to communicate in English clearly and professionally, both in speaking and writing.
• Relevant work experience is required.
• Must be able to provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Required to attend video meetings with the camera on when necessary.
• Reliable laptop or desktop computer is essential.
• A stable high-speed internet connection of at least 25 Mbps is necessary.
• A noise-canceling headset is required.
• A working webcam is needed for virtual meetings.
