This is a fully remote position, open to applicants in Colombia.
• Oversee incoming calls, emails, and patient inquiries in both English and Spanish.
• Schedule, reschedule, and confirm dental appointments efficiently.
• Manage patient check-in and check-out procedures.
• Verify patient demographics, insurance eligibility, and dental benefits.
• Review copays, deductibles, annual maximums, waiting periods, and coverage limitations.
• Obtain and follow up on dental insurance pre-authorizations and pre-determinations.
• Aid in treatment plan coordination and relay insurance-related information to patients.
• Process patient payments and follow up on any outstanding balances.
• Coordinate appointment reminders, recalls, and patient follow-ups.
• Maintain accurate and current patient records and documentation.
• Communicate effectively with dentists, hygienists, dental assistants, insurance companies, and other dental staff.
• Support dental claims and manage other insurance-related administrative tasks.
• Ensure patient confidentiality and adhere to HIPAA regulations.
• Provide general administrative and front-desk assistance for daily dental practice operations.
• Minimum of 3 years of direct experience as a Dental Medical Virtual Assistant, Dental Front Desk Coordinator, Dental Administrative Assistant, or a similar role within a U.S. dental practice.
• Prior experience working remotely in a dental environment is essential.
• Proficient in both English and Spanish, with strong verbal and written communication skills in both languages.
• Comprehensive understanding of dental office workflows, terminology, scheduling, and patient coordination.
• Practical experience with dental insurance pre-authorization and pre-determination processes.
• Extensive experience in dental insurance verification, including eligibility, benefits, coverage requirements, deductibles, copays, and annual maximums.
• Familiarity with dental coding and CDT codes.
• Knowledge of dental procedures, treatment plans, and common dental terminology.
• Basic understanding of dental X-rays and common types of dental radiographs and terminology.
• Excellent patient service and communication abilities.
• Strong organizational skills with the capacity to manage multiple tasks and priorities.
• Proficient with computers, electronic health/dental records, and dental practice management software.
• Ability to work autonomously and maintain productivity in a fully remote setting.
• HIPAA knowledge or certification is preferred.
• Experience with Dentrix, Dentrix Ascend, Eaglesoft, Open Dental, Curve Dental, or similar dental practice management systems is highly preferred.
• Familiarity with dental insurance claims and follow-up processes.
• Experience with dental pre-authorizations and pre-determinations.
• Experience coordinating treatment plans.
• Understanding of dental coding and CDT codes.
• Knowledge of dental X-rays and radiographic terminology.
• Experience with insurance benefit breakdowns and verification.
• Experience in patient billing, payment processing, and outstanding balance follow-up.
• Experience in communicating with U.S. dental insurance providers.
• Previous experience in a remote dental practice setting.
