This is a fully remote position, open to applicants in Canada.
β’ Oversee the shared billing inbox and address inquiries in accordance with established service level agreements (SLAs).
β’ Respond to both internal and external customer inquiries related to billing, contracts, payments, and escalations.
β’ Monitor Slack channels and provide timely responses or acknowledgments to messages.
β’ Foster and nurture relationships with customers and internal teams.
β’ Coordinate the setup of customer billing while ensuring adherence to formatting and platform specifications.
β’ Complete vendor documentation and manage portal setups.
β’ Maintain billing contact information and collect/upload sales tax exemption certificates.
β’ Process invoices through customer portals in the required formats.
β’ Manage the assigned accounts receivable portfolio and follow up on overdue invoices via phone and email.
β’ Identify and escalate payment-related issues as needed.
β’ Keep collection notes, generate aging reports, flag accounts at risk, and manage escalations.
β’ Process payments, credit memos, and rebills; reconcile accounts and address discrepancies.
β’ Handle overpayments and communicate with canceled customers about refund details.
β’ Track cancellations and update records in a timely manner.
β’ Supervise the dunning automation process.
β’ Assist with quarterly evaluations of bad debt reserves and write-offs.
β’ Provide monthly updates on high-priority accounts to senior leadership.
β’ Participate in team meetings and one-on-ones with the Accounts Receivable Manager.
β’ Undertake additional tasks and special projects as assigned.
β’ A minimum of 2 years of experience in Accounts Receivable, Billing, or a related finance role.
β’ Preferred experience with NetSuite, Tesorio, Maxio, Salesforce (SFDC), and Avalara.
β’ Knowledge of subscription-based service contracts.
β’ Advanced Excel skills, including complex formulas, LOOKUP functions, PivotTables, and SUMIF.
β’ Familiarity with vendor portals and payment processing platforms.
β’ Exceptional organizational skills and a keen eye for detail.
β’ Strong written and verbal communication skills.
β’ Understanding of fundamental accounting principles and billing best practices.
β’ Basic knowledge of AI tools, with a readiness to adopt them for enhanced process efficiency.
β’ Ability to manage sensitive information with discretion and confidentiality.
