Accounts Payable / Accounts Receivable Specialist

This is a fully remote position, open to applicants in Mexico.

📋 Description

• Receive, code, and input vendor invoices; align them with purchase orders and receipts.

• Prepare weekly payment processes utilizing ACH and checks for approval.

• Reconcile vendor statements and address discrepancies via email or phone.

• Gather W-9 forms and maintain up-to-date vendor records for 1099 reporting.

• Generate and dispatch customer invoices, including progress billing when necessary.

• Apply customer payments and keep precise aging reports.

• Follow up on overdue invoices through email and phone communication in English.

• Assist with month-end closing by performing AP/AR reconciliations for the bookkeeper or controller.

• Collaborate with small to mid-sized U.S. companies, primarily in construction, distribution, manufacturing, and professional services.

⛳️ Requirements

• At least 2 years of experience in Accounts Payable (AP) and/or Accounts Receivable (AR).

• Practical experience with QuickBooks Online or Desktop.

• Intermediate level English (B1+) for professional correspondence and phone interactions.

• Proficient in Excel: including lookups, pivot tables, and reconciliations.

• Familiarity with invoice processing, vendor payments, billing, payment application, and collections.

• Capability to work remotely from Mexico, Monday to Friday, from 8:00 a.m. to 5:00 p.m. U.S. Central Time.

• Ability to operate as an independent contractor and issue CFDI invoices (RFC).

• Experience with U.S. companies and U.S. accounting standards (ACH, W-9, 1099).

• Familiarity with Bill.com, Ramp, Sage, or NetSuite.

• Experience in the construction sector or with progress billing.

• Degree or coursework in Accounting or Finance.

• Strong numerical accuracy and a consistent approach to documentation.
