Accounts Payable / Accounts Receivable Specialist

This is a fully remote position, open to applicants in Mexico.

📋 Description

• Receive, code, and input vendor invoices; align them with purchase orders and receipts.

• Prepare weekly payment batches utilizing ACH and checks for authorization.

• Reconcile vendor accounts and address discrepancies via email or phone communication.

• Gather W-9 forms and keep up-to-date vendor records for 1099 reporting purposes.

• Generate and dispatch customer invoices, including progress billing when necessary.

• Process customer payments and maintain an accurate aging report.

• Follow up on late invoices through email and phone in English.

• Assist with month-end closing by conducting AP/AR reconciliations for the bookkeeper or controller.

• Collaborate with small to mid-sized U.S. companies, primarily within the construction, distribution, manufacturing, and professional services sectors.

⛳️ Requirements

• At least 2 years of experience in Accounts Payable (AP) and/or Accounts Receivable (AR).

• Practical experience with QuickBooks Online or Desktop.

• Intermediate English proficiency (B1+) for professional email correspondence and phone interactions.

• Proficient in Excel, including lookups, pivot tables, and reconciliations.

• Understanding of invoice processing, vendor payments, billing, payment application, and collections.

• Capability to work remotely from Mexico, Monday to Friday, 8:00 a.m. to 5:00 p.m. U.S. Central Time.

• Ability to operate as an independent contractor and issue CFDI invoices (RFC).

• Familiarity with U.S. companies and U.S. accounting standards (ACH, W-9, 1099).

• Experience with Bill.com, Ramp, Sage, or NetSuite.

• Background in the construction industry or progress billing experience.

• Degree or coursework in Accounting or Finance.
