This is a fully remote position, open to applicants in Arizona.
• Accurately process multi-state payroll on schedule using Workday, including both regular and off-cycle runs.
• Reconcile payroll information before each processing cycle and proactively address any discrepancies.
• Oversee stock/equity transaction settlement dates and ensure timely execution of tax deposits, including same-day deposits when necessary.
• Conduct audits of payroll results to verify accuracy and compliance.
• Execute and validate tax deposits through Workday and ADP SmartCompliance; escalate any discrepancies with detailed documentation.
• Maintain payroll records in line with federal, state, and local regulations.
• Utilize or learn AI-driven payroll tools, such as Workday Payroll Agents, to enhance processing and audit workflows.
• Track payroll tax thresholds and deadlines, including next-day deposit triggers.
• Assist with year-end tasks like W-2 processing, ACA reporting, and payroll tax reconciliation.
• Provide support during audits and regulatory inquiries by preparing accurate payroll documentation.
• Document and monitor key payroll timelines to facilitate accountability and continuous improvement.
• Collaborate with HR Business Partners and Total Rewards regarding compensation adjustments, new hire setup, terminations, and leave management.
• Address employee payroll inquiries with clarity and professionalism.
• Aid in documenting and standardizing processes to minimize single points of failure.
• Contribute to enhancements in Workday and broader improvements in People Operations processes.
• 3–5 years of direct payroll processing experience, preferably in a multi-state environment.
• Required hands-on experience with Workday Payroll.
• Strong advantage for candidates with experience in equity or stock-based payroll.
• Familiarity with ADP SmartCompliance and understanding of federal, state, and local payroll tax regulations, including IRS deposit rules and Form 941 reconciliation.
• Proven ability to meet tight, non-negotiable deadlines while maintaining a high level of accuracy.
• Strong skills in reconciliation and analysis.
• Comfort in a fast-paced environment where processes are still being developed and refined.
• Clear and professional communicator capable of simplifying payroll complexities for non-payroll stakeholders.
• Proficient in Excel.
• Willingness to leverage AI tools to enhance workflows.
• Experience in using AI tools to improve accuracy, efficiency, or to automate processes.
• Open to experimenting with automation, prompts, and system capabilities to reduce manual tasks.
• Demonstrates curiosity and adaptability as roles and processes evolve.
• CPP (Certified Payroll Professional) certification is a plus, but not required.
