This is a fully remote position, open to applicants in United States, +1 more country.
• Take charge of scheduled and off-cycle payroll processes in Rippling for over 1,000 W-2 employees in various states.
• Verify timekeeping, compensation modifications, garnishments, deductions, and final pay.
• Conduct pre- and post-payroll reviews, variance analysis, and funding validation.
• Reconcile payroll with bank, tax, benefits, retirement plan, and general ledger records.
• Manage approved payments to practice owners and non-employees, facilitating year-end Form 1099 reporting.
• Oversee federal, state, and local payroll tax accounts, including registrations, closures, SUI rates, filing frequencies, and authorizations.
• Supervise Rippling filings and payments, resolving tax notices, amendments, penalties, and credits.
• Direct quarter-end and year-end activities, including Forms 941, 940, W-2/W-3, and relevant Forms 1099.
• Act as the primary point of escalation for payroll inquiries from employees and practice owners.
• Lead reconciliations for insurance against enrollments, deductions, and employer contributions.
• Manage 401(k) reconciliations and assist with annual testing, Form 5500 preparation, and independent plan audits.
• Coordinate annual workers' compensation premium audits and ensure resolution of findings.
• Serve as Finni's system owner for Rippling, overseeing configurations, permissions, reporting, internal controls, role-based access, and audit-ready records.
• Develop the payroll knowledge base as the company's definitive resource.
• Create and implement agentic AI workflows for routine payroll inquiries and sensitive case routing.
• Automate agency notice triage, reconciliations, audit preparation, and reporting while monitoring accuracy, timeliness, and open-notice counts.
• Minimum of 4 years of hands-on U.S. payroll experience.
• At least 2 years of independently managing full-cycle, multi-state payroll for 500+ W-2 employees; experience with 1,000+ is strongly preferred.
• Extensive knowledge of federal, state, and local payroll tax, including SUI, wage-and-hour compliance, garnishments, final pay, and year-end reporting.
• Proven experience maintaining state tax accounts, overseeing provider-filed returns, and resolving agency notices.
• Familiarity with quarter-end and year-end processing, payroll accounting, internal controls, and general ledger reconciliation.
• Practical experience with benefits, 401(k), and workers' compensation reconciliations or audits.
• Experience using Rippling or another contemporary payroll and HRIS platform.
• Proficient in advanced Excel or Google Sheets, with confidence in handling large payroll datasets.
• Demonstrated use of AI or automation tools to create and implement a knowledge base, workflow, bot, or script utilized by others.
• Must be located in the United States or Canada.
• Ability to work during core U.S. business hours and adhere to strict payroll deadlines.
