This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee the onboarding process for vendors, which includes setting up contracts, gathering compliance documentation, and facilitating system integration.

• Manage the execution of NDAs and VMSAs via DocuSign, ensuring all required signers complete their tasks.

• Possess a strong understanding of contract review processes, including handling redlines and conducting negotiations.

• Monitor tasks and manage incoming requests from both internal and external sources.

• Collaborate with sales, procurement, operations, and finance teams to ensure a comprehensive understanding of contracts, MSAs, SOWs, and timelines.

• Keep vendor records accurate in our systems, ensuring the integrity of all data.

• Identify and pursue opportunities to enhance vendor relationships.

• Organize and maintain folders containing vendor information, such as contact details, services offered, and performance records.

• Track and report on purchase orders and vendor invoicing activities as part of the vendor management process.

• Support all departmental contracts, including managing a contract repository and expiration tracker.

• Assess internal stakeholder requests for vendor relationships, guiding them through the standard vendor onboarding framework and providing comparative analyses to ensure a fair contract awarding process.

• Collaborate with the Account Coordinator/Finance Team to review and reconcile payables and receivables with active vendor contracts, ensuring effective tracking and communication between Vendor Management and Finance.

• Assist site teams with budgeting and forecasting by providing relevant data through trackers and historical documents.

• Serve as a resource for site teams on contract procedures, concepts, policies, and any changes regarding vendor management.

• Act as a liaison for new account setups and transitions to the onsite Vendor Specialist.


⛳️ Requirements

• 2+ years of experience in vendor management, procurement coordination, or supply chain operations.

• Strong organizational skills with the capability to manage multiple priorities and meet deadlines.

• Excellent communication skills and the ability to build strong relationships.

• A proactive approach to problem-solving with the ability to turn challenges into effective solutions.

• Familiarity with contract terms, compliance requirements, and performance metrics.

• Exceptional attention to detail and accuracy.

• Flexibility and readiness to adapt to changing circumstances and expectations.

• Strong work ethic and integrity, capable of working independently and effectively.

• Foster exceptional relationships with clients and vendors to ensure successful partnerships with our preferred suppliers.

• Bachelor’s degree in business administration, accounting, legal studies, finance, or a relevant field of study.

• Proficient in Salesforce, OneNote, Smartsheet, and DocuSign.

• Advanced skills in Microsoft Office applications, including MS Excel, Outlook, and others.

• Understanding of strategic sourcing processes.

• Experience in facilities management, critical facilities, or data centers.
