This is a fully remote position, open to applicants in Germany.
• Organize and schedule training sessions with trainers and clients across various enterprise projects concurrently
• Collaborate with trainers regarding upcoming sessions, preparation requirements, and logistics
• Facilitate meetings between the internal team, trainers, and stakeholders from client organizations
• Communicate with learners: sending invitations, reminders, pre-work materials, and follow-up messages
• Translate presentations and session materials between German and English
• Handle session rescheduling when changes arise (which they often do)
• Oversee session follow-up: deliver materials, send follow-up communications, and resolve outstanding queries
• Manage project tracking in Excel: monitor who is delivering what, timelines, client specifications, costs, and progress against plans
• Generate attendance reports for clients and internal purposes
• Prepare metrics for impact reviews (NPS, completion rates, adoption KPIs) to demonstrate value to clients and identify improvement areas
• Issue purchase orders to trainers based on confirmed bookings
• Verify incoming trainer invoices against purchase orders and project plans, flagging any discrepancies
• Maintain documentation and filing to ensure finance can finalize the month without follow-ups
• Identify repetitive administrative tasks that can be automated
• Develop automations using AI tools, Power Automate, Make, Zapier, custom GPTs, or agent builders, in close partnership with Sara and Olli
• Enhance our internal Excel and project tracking systems to ensure scalability without increasing manual workload
• Share your creations with the team to provide benefits for everyone
• A true passion for administrative tasks, organization, and maintaining clean data (if you read the list above, you didn't flinch)
• Proficient in advanced Excel: skilled in pivot tables, lookups, nested formulas, conditional logic, data validation, and ideally Power Query
• Highly detail-oriented: able to spot typos in POs, recognize discrepancies in invoice amounts, and detect overlapping session bookings
• Dependable and organized: when you commit to a task, others can relax knowing it's in good hands
• A genuine interest in AI: you experiment with ChatGPT, Claude, or similar tools and wish to delve deeper
• Proficient in both German and English (our clients are in the DACH region; much of our content is in English)
• Currently attending a university as a working student (Werkstudent) or available as an intern for at least 6 months; based in Berlin or open to hybrid work arrangements
• 30 vacation days per year (for full-time employees) plus unlimited home office days; you can choose to work remotely or from our beautiful Berlin office
