This is a fully remote position, open to applicants in Philippines.
• Provide assistance to the Handover team in project administration, coordination, and delivery tasks.
• Ensure project records, documentation, and audit trails are accurately maintained using Jira, CRM systems, reports, and dashboards.
• Support Senior Technical Handover Success Managers with daily project administration, coordination, and follow-up activities.
• Aid in the onboarding of suppliers and subcontractors, which includes gathering documentation, follow-ups, and system support.
• Collaborate with suppliers, subcontractors, and internal stakeholders to facilitate project progress.
• Identify and escalate issues related to projects, documentation, or onboarding, and ensure follow-up.
• Organize project meetings, draft agendas, take minutes, and share action items.
• Assist in quality assurance processes and verify that documentation meets project standards.
• Contribute to process enhancement and preventative measures to improve project delivery results.
• Fulfill assigned CRM and administrative responsibilities while supporting team KPIs and delivery objectives.
• Work closely with project teams to ensure efficient and successful project execution.
• Undertake additional tasks as necessary.
• A degree in Architecture, Engineering, Construction Management, or a related technical field is required.
• Prior experience in project administration, construction administration, technical support, handover documentation, office administration, or similar roles.
• Experience in the construction, engineering, architecture, building, or technical project environments is highly valued.
• Excellent organizational skills, with the capability to manage multiple tasks, prioritize effectively, and maintain detailed project records.
• Keen attention to detail across all documentation, data entry, client communications, meeting minutes, and project records.
• Proficient in Jira, CRM systems, Microsoft Office Suite, and other project management or task-tracking tools.
• Strong communication skills, able to effectively interact with internal project teams, suppliers, subcontractors, and external stakeholders.
• Excellent written English proficiency, capable of documenting updates, meeting summaries, issues, and project information clearly.
• A proactive approach to problem-solving, with the ability to identify issues, escalate concerns, and follow through on solutions.
• Ability to adhere to quality standards, project procedures, documentation requirements, and established workflows.
• Comfortable working in a fast-paced project environment with deadlines, KPIs, and competing priorities.
• Collaborative, dependable, and capable of providing administrative support that aids in smooth project delivery.
• Must be available to work mid-shift from 5:00 PM to 2:00 AM PHT.
• Work from home.
• Monday to Friday; weekends off.
