Technical Operations – Field Team Scheduler

This is a fully remote position, open to applicants in Arizona, +5 more states.

📋 Description

• Create and oversee workforce schedules for all ongoing projects.

• Organize staffing assignments based on project needs, employee qualifications, availability, and business priorities.

• Administer employee deployments, rotations, mobilizations, and demobilizations.

• Track project staffing levels and actively identify resource shortages or excesses.

• Modify staffing plans in response to changes in project schedules, client requests, delays, accelerations, or urgent coverage needs.

• Ensure that all projects maintain sufficient staffing coverage while optimizing workforce utilization.

• Coordinate weekly staffing reviews with Operations and Project Leadership teams.

• Maintain visibility into workforce capacity across all regions and projects.

• Keep an accurate roster of employee qualifications, certifications, training records, and project experiences.

• Align personnel to assignments based on technical skills, certification requirements, leadership levels, and development objectives.

• Monitor employee availability, PTO, holidays, training commitments, and travel schedules.

• Assist in workforce forecasting and capacity planning efforts.

• Foster employee development by identifying advancement opportunities, cross-training, and leadership exposure.

• Ensure that staffing decisions are in line with company goals and client expectations.

• Act as the primary contact for field personnel regarding assignments, schedules, travel, and deployment inquiries.

• Cultivate strong working relationships with field team members and operational leaders.

• Communicate schedule changes and staffing updates in a timely and professional manner.

• Support employee onboarding by organizing initial project assignments and deployment logistics.

• Conduct regular outreach to field personnel to sustain engagement and awareness of upcoming opportunities.

• Enhance the employee experience through proactive communication and responsiveness.

• Arrange travel logistics including flights, hotels, rental vehicles, and project mobilization details.

• Ensure field personnel receive prompt travel information and assignment particulars.

• Monitor upcoming mobilizations and confirm that all logistical needs are met prior to deployment.

• Assist employees with travel-related challenges and coordinate resolutions as necessary.

• Collaborate closely with vendors and internal stakeholders to maximize travel efficiency and cost management.

• Maintain precise workforce data within scheduling and HR systems.

• Produce weekly, monthly, and quarterly staffing reports.

• Track workforce utilization, project coverage, staffing trends, and employee deployment metrics.

• Develop and sustain dashboards that provide insights into workforce allocation and project staffing.

• Work closely with Project Managers, Project Directors, Recruiting, Human Resources, and Learning & Development teams.

• Aid recruiting efforts by identifying future hiring needs based on anticipated workload.

• Assist leadership with workforce planning strategies to facilitate business growth.

• Participate in operational meetings and staffing reviews.

• Contribute to initiatives aimed at improving processes related to scheduling, workforce management, and operational efficiency.


⛳️ Requirements

• Associate's Degree or Bachelor's Degree in Business, Operations, Human Resources, Project Management, or a related discipline is preferred.

• At least 3 years of experience in workforce scheduling, operations coordination, logistics, project support, or resource planning.

• Strong proficiency in Microsoft Office Suite, especially Excel, Outlook, Teams, and SharePoint.

• Exceptional organizational and time management abilities.

• Strong verbal and written communication skills.

• Capability to manage multiple priorities simultaneously.

• High level of professionalism and discretion.

• Excellent problem-solving and decision-making capabilities.

• Preferred experience in supporting field-based workforces.

• Background in construction, commissioning, engineering, mission-critical facilities, manufacturing, aviation, telecommunications, utilities, or similar sectors.

• Familiarity with workforce planning software, BambooHR, Power BI, scheduling tools, or ERP systems.

• Experience in coordinating travel and logistics for distributed teams.

• Understanding of project-based staffing models.
