Team Lead – Intake & Case Management, ABA

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Direct and oversee the intake and case management team, offering daily guidance, support, and performance coaching.

• Manage the complete client intake process, encompassing initial inquiries, insurance verification, authorizations, and onboarding procedures.

• Ensure precise and timely input and upkeep of client data in CentralReach and other CRM systems.

• Assess team productivity, workflows, and turnaround times to guarantee that service level agreements (SLAs) are consistently met.

• Create, implement, and enhance intake and case management processes and standard operating procedures (SOPs).

• Serve as the escalation point for complicated cases, delays, or client issues.

• Work collaboratively with clinical, billing, and scheduling teams to facilitate smooth client onboarding and service delivery.

• Monitor and report on critical metrics (e.g., intake timelines, conversion rates, and authorization turnaround times).

• Perform regular quality assurance checks to ensure data integrity and adherence to company and payer standards.

• Train and onboard new team members on systems, workflows, and best practices.

• Maintain compliance with HIPAA and internal documentation standards.

⛳️ Requirements

• A minimum of 3 years of experience in ABA operations, intake coordination, or case management.

• Demonstrated experience in a leadership or supervisory capacity.

• Practical experience with CentralReach (mandatory) and other CRM/EMS systems.

• In-depth knowledge of ABA intake processes, including insurance verification and authorizations.

• Exceptional organizational and multitasking skills.

• Keen attention to detail and a process-oriented mindset.

• Strong communication skills and effective team leadership capabilities.

• Ability to work independently in a dynamic, remote setting.

• Availability to work during U.S. business hours.
