This is a fully remote position, open to applicants in United States.

📋 Description

• Take ownership of the entire recruiting process for the operations team, which encompasses sourcing, scheduling, candidate communication, pipeline management, and support for hiring managers.

• Oversee daily operations and administrative tasks, such as managing calendars, travel arrangements, expense coordination, vendor relations, and general administrative duties.

• Lead special projects from initial concepts to final outcomes by defining requirements, creating streamlined project plans, coordinating with stakeholders, and ensuring completion.

• Act as the main point of contact and facilitator for the team leader, proactively addressing needs and removing obstacles.

• Utilize AI tools on a daily basis to draft communications, summarize research, develop templates, automate repetitive tasks, and manage a high volume of work.

• Develop and maintain operational documentation, trackers, and simple systems.

• Collaborate across teams and functions to ensure smooth information flow, visibility of deadlines, and alignment among stakeholders.

• Manage sensitive information with care and foster trust throughout the organization.


⛳️ Requirements

• 3–5 years of professional experience in operations, project management, chief of staff, or a generalist role at a fast-paced startup or high-performance organization (maximum of 8 years).

• Proven ability to handle multiple concurrent workstreams across various stakeholders without missing deadlines.

• Regular, hands-on use of AI tools (such as ChatGPT, Claude, Copilot, or similar) to enhance productivity.

• Experience in supporting recruiting functions: sourcing, scheduling, pipeline management, or candidate communication.

• Excellent written and verbal communication skills with the capability to transform ambiguity into clear action items and documentation.

• Background in or familiarity with financial services, proprietary trading, or hedge fund environments.

• Experience as a founder, early-stage startup employee, or chief of staff, where you assumed diverse roles.

• Proficiency with light tools and automation platforms like Notion, Zapier, Make, or similar.

• Knowledge of recruiting tools and applicant tracking systems such as Greenhouse, Lever, Ashby, or similar.
