This is a fully remote position, open to applicants in Philippines.
• Collaborate with recruiters, hiring managers, and candidates to coordinate and schedule both on-site and virtual interviews.
• Manage candidate logistics from start to finish: confirm interview specifics, send calendar invitations, prepare briefing materials, and handle day-of coordination (including room bookings and virtual links).
• Proactively communicate with candidates to ensure a welcoming and professional experience throughout the entire process.
• Track and follow up on interview feedback, escalating issues when necessary to keep pipelines advancing.
• Maintain and update the Ashby ATS: ensure candidate records are precise and pipelines are organized and current.
• Create and manage job postings, ensuring that role details are accurate and up-to-date.
• Oversee ATS configuration, including stages, email templates, tags, and automation workflows.
• Generate recruiting reports and pipeline summaries for insights into hiring progress.
• Keep a request log for both recurring and ad hoc reporting needs.
• Organize all pre-boarding and onboarding logistics for hires in the Philippines, including document collection, statutory compliance (SSS, PhilHealth, Pag-IBIG), and BIR requirements.
• Prepare and manage onboarding documentation such as employment contracts, NDAs, and other necessary paperwork.
• Procure, configure, and dispatch equipment before the first day of work.
• Enhance the first-day experience with welcome communications, system access coordination, and orientation scheduling.
• Maintain onboarding checklists and continuously refine processes.
• Oversee the entire offboarding process: exit documentation, equipment retrieval, revocation of system access, and coordination of final pay.
• Ensure adherence to Philippine labor laws, including the issuance of Certificates of Employment and government-mandated clearances.
• Coordinate or conduct exit interviews and share insights with the People team.
• Keep organized records of all completed offboarding cases.
• Maintain organized talent documentation in platforms like Notion and Google Drive.
• Assist recruiters with candidate data management, scoring sheets, and spreadsheet maintenance.
• Monitor shared talent inboxes and ensure prompt follow-through on inquiries.
• Identify process gaps and suggest improvements for greater efficiency.
• Support broader initiatives of the People team as required.
• Bachelor’s degree in Psychology, Human Resources, Business Administration, or a related field.
• Located in Metro Manila or nearby provinces (Laguna, Rizal, Cavite, Bulacan).
• Three years of experience in talent coordination, HR operations, or recruitment support, with familiarity in end-to-end hiring and onboarding processes.
• Registered as an independent contractor with the BIR.
• Detail-oriented with a strong focus on accuracy.
• Excellent organizational and multitasking abilities.
• Strong and professional communication skills.
• Self-motivated and comfortable working in a remote environment.
• Proficient in Google Suite.
• Experience with Ashby or another ATS is preferred.
• Knowledge of HR processes and Philippine compliance is an advantage.
• Comfortable working with and presenting data.
• Reliable personal computer or laptop is essential.
