Supply Chain, Purchasing & Compliance Coordinator

This is a fully remote position, open to applicants in United States.

📋 Description

• Oversee daily purchasing operations with both domestic and international suppliers.

• Generate, monitor, and maintain purchase orders throughout the procurement cycle.

• Establish and nurture robust supplier relationships to guarantee competitive pricing, product availability, and timely deliveries.

• Track supplier lead times, purchasing timelines, and inventory needs.

• Engage with suppliers regarding pricing, availability, order status, and product specifications.

• Keep supplier records, contracts, and product documentation up to date.

• Assist with landed cost calculations and observe purchasing trends.

• Address discrepancies related to purchase orders, invoices, pricing, and supplier deliveries.

• Manage inbound shipments in collaboration with freight forwarders, customs brokers, and warehouse partners.

• Monitor shipments from origin to final delivery.

• Prepare and arrange import documentation, including commercial invoices, packing lists, Certificates of Analysis (COAs), and Bills of Lading.

• Facilitate customs clearance activities and documentation requests.

• Aid in resolving shipment delays, damages, shortages, and transportation challenges.

• Maintain supplier approvals, compliance records, COAs, and audit documentation.

• Ensure adherence to food safety and regulatory standards.

• Coordinate documentation requests with suppliers and internal teams.

• Assist with internal audits, customer audits, and regulatory obligations.

• Ensure that operational documentation is organized, accurate, and ready for audits.

• Act as a point of contact for customers throughout the order fulfillment process.

• Address shipment inquiries and provide prompt operational updates.

• Keep internal teams informed about purchase orders, shipments, inventory status, and operational priorities.

• Generate operational reports, purchasing summaries, and inventory-related documentation.

• Maintain well-organized digital filing systems and operational records.

• Identify opportunities to enhance purchasing workflows, supplier collaboration, and operational efficiency.

• Contribute to continuous improvement initiatives across purchasing, compliance, and supply chain functions.


⛳️ Requirements

• At least 2+ years of practical experience in purchasing, procurement, supply chain, import/export coordination, logistics, or similar operational roles.

• Proven experience in purchasing or procurement working directly with suppliers.

• Experience in coordinating purchase orders, supplier communications, and inventory management.

• Proficient in Microsoft Excel and experienced in managing operational data.

• Familiarity with ERP systems and order management platforms.

• Excellent written and verbal communication skills in English (C1 preferred).

• Strong organizational abilities with a keen eye for detail.

• Capacity to handle multiple priorities in a dynamic environment.

• Experience in collaborating across various departments.
