This is a fully remote position, open to applicants in Minnesota.
• Ensure accurate maintenance of student records within the Student Information System (SIS) Qmlativ.
• Reconcile data across the learning management system, Pearson Online Classroom, and the Student Information System (SIS) Qmlativ.
• Conduct audits to detect and address data discrepancies.
• Collaborate with the Enrollment, Attendance, Special Education, Counseling, and Leadership teams to collect and verify student information.
• Oversee student enrollment, withdrawal, attendance, demographic, residency, and course information to ensure compliance with state reporting standards.
• Communicate with other school district MARSS Coordinators and school personnel regarding student data and discrepancies.
• Monitor special programs such as English Learners (EL), PSEO, 504, and MKV, ensuring accurate information entry into the SIS.
• Assist the Minnesota Transitions Charter School District MARSS Coordinator with annual MARSS reporting and other state-mandated data collections.
• Keep track of reporting deadlines and guarantee timely submission of necessary data.
• Uphold the confidentiality of student records in accordance with FERPA and institutional policies.
• Provide administrative support during peak operational periods, including withdrawals, state reporting, student records management, enrollment, attendance, truancy, and front desk coverage.
• Respond to incoming front desk calls during times when the Receptionist is unavailable.
• Offer training and ongoing support to new staff members.
• Assist the Administrative Assistant team with special projects and initiatives.
• Perform other duties as assigned.
• High school diploma or GED equivalent.
• 1-2 years of relevant administrative experience preferred.
• Proficient in Microsoft Office tools and web-based applications.
• Skilled in Google applications (Mail, Calendar, Drive, Hangouts, Documents, etc.).
• Intermediate proficiency in Microsoft Excel.
• Ability to manage multiple tasks in a fast-paced environment.
• Strong interpersonal skills and attention to detail.
• Exceptional communication abilities, both verbal and written.
• Customer-focused mindset.
• High degree of adaptability.
• Capacity to maintain privacy and confidentiality (FERPA).
