Staffing and Travel Coordinator

This is a fully remote position, open to applicants in Pennsylvania, +1 more state.

📋 Description

• Oversee staffing assignments for healthcare professionals and support staff to enhance regional operations.

• Reach out to personnel to confirm their availability, acceptance of roles, and readiness for deployment.

• Arrange travel logistics, including flights, accommodations, rental cars, and other transportation needs.

• Ensure that travel is booked in compliance with company travel policies and adheres to budget constraints.

• Prepare and distribute travel itineraries and deployment information to the assigned staff.

• Monitor staffing schedules to guarantee that all events are adequately staffed within required timelines.

• Maintain precise records of staffing, scheduling, and travel in company systems.

• Communicate staffing confirmations, schedule adjustments, and travel updates to providers and operational leadership.

• Collaborate with Recruiters to identify and relay staffing shortages and urgent provider requirements.

• Work alongside Credentialing to ensure that providers fulfill all licensing, credentialing, and compliance criteria prior to deployment.

• Collaborate closely with Regional Operations Managers to ensure readiness for events.

• Assist with urgent staffing requests and emergency replacements of providers.

• Address routine travel issues, including changes in itineraries, delays, cancellations, and inquiries from providers regarding travel.

• Monitor the deployment status of providers and confirm their successful arrival at assigned events.

• Track staffing vacancies and help maintain sufficient provider coverage across assigned regions or programs.

• Confirm that provider documentation and deployment prerequisites are complete prior to travel.

• Maintain ongoing communication with providers before, during, and after assignments to ensure a positive experience.

• Escalate staffing, credentialing, travel, or operational issues to the Lead Coordinator or Manager as necessary.

• Conduct data entry and maintain accurate staffing reports, travel logs, and scheduling documents.

• Assist with workforce planning by updating databases related to provider availability and staffing.

• Support quality assurance initiatives by ensuring that staffing and travel records are accurate and comprehensive.

• Adhere to company policies, government contract requirements, and operational procedures.

• Deliver outstanding customer service to providers, internal teams, and external stakeholders.

• Engage in cross-training and ongoing process improvement efforts.

• Provide after-hours staffing and travel coordination as operational needs dictate.

• Perform additional duties as assigned to ensure successful program execution.


⛳️ Requirements

• A high school diploma is required; some college education is preferred.

• Prior training and experience with travel software is highly desirable.
