This is a fully remote position, open to applicants in Mexico.
• Take ownership of the entire accounts payable process for all corporate, fund, and project entities, from the intake of invoices through to payment and record-keeping.
• Manage vendor invoices, subcontractor billings, and employee expense reports using bill.com/Intuit Enterprise Suite, ensuring precise coding for entities, projects, and job costs.
• Prepare weekly payment runs for ACH, checks, and wire transfers.
• Reconcile activities within bill.com to Intuit Enterprise Suite.
• Maintain vendor master data, including W-9 forms, insurance certificates, and lien waivers.
• Keep commitment ledgers for agreements with general contractors and subcontractors.
• Monitor contract values, approved change orders, billings to date, retainage held, and remaining commitments for each project.
• Review monthly AIA G702/G703 pay applications against the schedules of values.
• Track change orders, compute and document retainage withheld, and gather lien waivers.
• Reconcile commitment ledgers to job cost details and the general ledger on a monthly basis.
• Provide reporting on committed versus incurred versus remaining budget to the Controller and development team.
• Prepare and post recurring journal entries.
• Conduct monthly bank and balance-sheet reconciliations across various entities.
• Assist the Controller with the monthly book closing process.
• Prepare and send out monthly development management fee invoices.
• Reconcile intercompany billings and balances among entities.
• Monitor daily cash positions and assist with other accounts receivable functions.
• Support payroll entry activities.
• Provide documentation for annual audits, tax return preparation, and requests from lenders or investors.
• Report directly to the Controller and assist with accounting operations for a growing real estate private equity firm.
• A Bachelor's degree in Accounting, Finance, or a related discipline.
• CPA/CA certification or progress towards this qualification is a plus.
• 2–4 years of accounting experience, specifically with hands-on ownership of accounts payable.
• Familiarity with US GAAP and full-cycle month-end close processes.
• Experience with bill.com and Intuit Enterprise Suite is strongly preferred; QuickBooks Online experience will be considered as a substitute for Intuit Enterprise Suite.
• Strongly preferred experience in accounting for construction or real estate development, including familiarity with long-term contracts, AIA pay applications, change orders, retainage, and lien waivers.
• Comfort in tracking committed costs against contract values and budgets across multiple concurrent projects.
• Multi-entity accounting experience is a significant advantage, especially with preparing intercompany billings and reconciling intercompany balances.
• Proficient Excel skills, including the use of pivot tables, lookups, and managing large data sets.
• Exceptional attention to detail coupled with strong organizational abilities.
• Capability to handle a high volume of invoices across multiple entities.
• Excellent verbal and written communication skills in English.
