This is a fully remote position, open to applicants in Maryland, +1 more state.
• Oversee all donor fulfillment and communication processes, both internally and externally, for Humane World for Animals and its affiliates.
• Manage the processing of invoices approved by various departments for external print and production vendors.
• Responsible for tracking within the Centralized Account Processing System and Enterprise Payment System; this includes setting up charges, reconciling, and generating weekly reports and analyses.
• Monitor invoices processed for payment in accordance with contract guidelines, audit tax charges, and provide weekly reports.
• Handle back-end premium selections and supply a range of images/artwork to vendors for marketing materials.
• Conduct interviews with internal stakeholders and external experts, as well as observe existing processes to create and maintain business rule documentation between the organization and the fulfillment vendor. Organize meeting structures with the vendor for daily activities, status updates, volume forecasts, inventory needs, etc.
• Provide a collection of images and maintain a file of artwork for licensing with vendors.
• Generate reports based on analysis of projected inventory requirements and upcoming direct marketing campaigns.
• Oversee relationships with outsourced fulfillment vendors and serve as the primary liaison between the organization and these vendors.
• Assist in managing the staff e-store, including vendor contracts and oversight of product inventory. Offer recommendations to the Brand and Visuals team regarding new products and improvements to the store.
• Manage direct mail marketing programs from start to finish while fostering existing and new vendor relationships, contracts, and production schedules with printers, display manufacturers, and apparel and collateral vendor partners. Operate within established budgets and timelines for multiple projects, obtain estimates from vendors, review, process, and track project invoices with oversight from the Senior Production Director to ensure adherence to contracted pricing.
• Enforce deadlines, coordinate proof edits and mailing lists, collect final print-ready files, and ensure accuracy and quality across all projects.
• Release final direct mail artwork to vendors, upload to File Transfer Protocol (FTP) sites, and arrange file delivery. Monitor scheduling and delivery of digital and printed proofs, and route printer proofs to the DM team as necessary to guarantee consistent quality and color for all projects. Assist in finalizing designs to ensure they are print-ready.
• Perform additional duties as required.
• High school diploma or equivalent is required.
• A Bachelor's Degree in Business Administration, Production and Operations Management, Communications, or a related field, or equivalent work experience is highly preferred.
• At least four (4) years of experience in coordinating complex business processes, ideally in a nonprofit setting.
• Previous experience in print production is desirable; prior experience in fundraising print and production or related marketing is a plus.
• Ability to consistently advocate for animal welfare and maintain a high level of customer service when interacting with individuals both within and outside of Humane World for Animals.
• A strong commitment to delivering exceptional donor service, going above and beyond to meet customer needs.
• Proficient problem-solving skills and the ability to identify creative solutions for various complex print, fulfillment, and donor communication challenges.
• Strong logic and critical thinking abilities.
• Excellent verbal and written communication skills.
• Capability to work independently and manage time effectively.
• Ability to build and nurture relationships through trust and respect, demonstrating high standards of tact, diplomacy, and discretion.
• Proficiency in the Microsoft Office suite.
• Familiarity with Visio or other workflow documentation tools is advantageous.
• Knowledge of donor database systems is a plus.
