
Specialist, Exhibit & Sponsorship Operations

This is a fully remote position, open to applicants in United States.
• Oversee the complete exhibitor and sponsorship fulfillment process for designated events.
• Act as the main operational liaison for exhibitors and sponsors during the entirety of the event lifecycle.
• Manage and update the Exhibitor Resource Center (Map Your Show), which includes exhibitor portals, floor plans, online listings, and sponsor deliverables.
• Organize sponsorship fulfillment, covering signage, branding, digital assets, registration allotments, promotional opportunities, sponsored sessions, lead retrieval, and other contractual benefits.
• Gather, review, and oversee exhibitor and sponsor assets such as logos, company descriptions, speaker information, session details, and other content for event websites, mobile applications, directories, signage, and digital platforms.
• Monitor sponsorship deliverables and supply fulfillment reports to the Sales team.
• Create clear communications for exhibitors and sponsors that enhance engagement and ensure successful participation.
• Collaborate with the Events and Sales teams to design and maintain exhibit floor plans that optimize attendee engagement and sponsor value.
• Manage exhibitor logistics, including booth assignments, move-in/move-out schedules, service kits, exhibitor registration, contractor coordination, and onsite assistance.
• Work in partnership with decorators, convention centers, hotels, and other vendors to facilitate seamless exhibit hall operations.
• Assist in the development and implementation of exhibit hall activations, networking experiences, and traffic-driving initiatives.
• Track exhibitor participation and propose enhancements to elevate the exhibitor experience and event ROI.
• Handle operational logistics for sponsorships and exhibit-related activities, including signage, audiovisual needs, catering, staffing, security, and onsite production.
• Provide support during event execution onsite, troubleshooting, and managing sponsors and exhibitor services.
• Participate in site visits and planning meetings as required.
• Aid in event registration operations and attendee assistance related to sponsorship and exhibit programs.
• Work closely with Sales, Marketing, Creative, Content, Finance, and Operations to ensure precise execution of sponsorship deliverables.
• Collaborate on the creation of exhibitor prospectuses, sponsorship materials, marketing assets, and event communications.
• Evaluate sponsorship and exhibitor metrics and suggest improvements to processes, offerings, and customer experiences.
• Investigate industry trends and benchmark best practices for sponsorship and trade shows to support ongoing innovation.
• Bachelor's degree or equivalent professional experience.
• Strong project management and organizational abilities with the capacity to handle multiple priorities at once.
• Exceptional written and verbal communication skills along with a customer-service orientation.
• Advanced skills in Microsoft Office, especially Excel.
• Ability to cultivate collaborative relationships across various departments and with external partners.
• Willingness to travel for conferences, site visits, and other event-related activities.
• Certification in Exhibition Management (CEM) is preferred.
• A minimum of three years' experience in managing exhibits, sponsorship fulfillment, or trade show operations for conferences or large-scale events is preferred.
