This is a fully remote position, open to applicants in United States.
• Oversee the execution of venue sourcing for low to medium complexity client meetings and events, emphasizing client satisfaction and the fulfillment of strategic business goals.
• Act as a Strategic Advisor for venue selection and sourcing: Function as a “strategic business partner” for clients by defining meeting objectives and comprehending strategic business aims.
• Integrate client strategic business goals into the sourcing process to provide considerable value to the client.
• Take ownership of the execution of sourcing strategies: Utilize Cvent and other venue sourcing tools to solicit proposals from venues through the RFP process.
• Carry out site inspections as requested by clients and with the approval of the Operations Manager and pending Senior Director, U.S. Operations.
• Negotiate with venues to enhance value for both Altour and the client’s strategic business objectives.
• Manage the venue contracting process in alignment with Altour standards and client interests and practices.
• Ensure a smooth transition to the assigned Meeting Planner for the program to guarantee knowledge transfer of client strategic business objectives and venue considerations.
• Maintain accurate data entry and project record keeping.
• Oversee the daily maintenance of client budgets related to venues to ensure a clear understanding of venue expenses for each project.
• Provide input as directed by U.S. Operations and Global Financial Operations to aid in the financial closure of projects.
• Ensure that project-level inputs in the Altour Cvent platform and other essential internal systems meet the accuracy and specifications required by U.S. Operations and Global Business Intelligence.
• Continuously update personal and team knowledge on key trends in venues, sourcing practices, and client service.
• Engage in vendor-supported educational opportunities to enhance destination knowledge and build institutional knowledge, subject to approval from the Operations Manager and Senior Director, U.S. Operations. This may include familiarization trips, educational seminars, and/or receptions.
• Stay informed about Altour supplier relations contracts overseen by the Global Sales Administration team.
• Serve as a resource of expertise in venue identification, contract negotiation, and other sourcing areas as necessary.
• Contribute to the development of a positive team culture at Altour.
• Inspire enthusiasm, influence, and motivate YES teammates to achieve desired outcomes and overall business objectives.
• Ideally, possess 3 years of relevant experience in the meetings and events industry with a focus on sourcing.
• Hold an Associate’s degree or equivalent work experience.
• Have a comprehensive understanding of meeting and incentive planning with an emphasis on sourcing.
• Capability to incorporate client strategic business goals throughout the sourcing process.
• Proven track record of managing multiple tasks and prioritizing effectively while overseeing several projects.
• Strong attention to detail and the ability to thrive under pressure.
• Ability to engage with key client stakeholders and C-level executives while maintaining a high level of professionalism and focus on client strategic business goals.
• Excellent negotiation skills with a knack for maintaining strong, collaborative relationships with clients, vendors, and internal team members.
• Capacity to work independently as well as collaboratively within a team setting.
• Passion for mentoring others to enhance their performance.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Teams [Preferred].
• Familiarity with leveraging Cvent for sourcing (e.g., RFPs, contract negotiations, etc.) [Preferred].
• Competence in using SmartSheet as a project management and reporting tool.
• Willingness to travel (15-25%).
• Involvement in industry organizations/events (i.e., MPI, IMEX).
