This is a fully remote position, open to applicants in Arizona.
• Coordinate and schedule service work orders across various regions and field service engineers.
• Act as the primary contact for incoming service requests via phone and email.
• Appropriately dispatch service requests based on geographical location, urgency, and required skillset.
• Utilize Service Fusion for managing the creation and tracking of work orders.
• Handle technician scheduling and routing.
• Manage service history and documentation.
• Source, order, and track parts necessary for service tasks.
• Obtain and compare quotes from vendors for parts and repairs.
• Collaborate with vendors, OEMs, and third-party service providers.
• Monitor job status and provide timely updates to internal teams and customers.
• Assist in the preparation of service estimates, quotes, and agreements.
• Support the scheduling and tracking of preventative maintenance.
• Monitor service KPIs such as response time, completion time, and uptime.
• Assist with invoicing coordination and the completion of service documentation.
• Support the sales team by coordinating active opportunities and tracking the pipeline.
• Maintain and update the CRM with leads, contacts, and accounts.
• Coordinate the scheduling, logistics, and routing for roadshow coaches.
• Assist in the planning and execution of roadshow stops, demos, and customer visits.
• Help in preparing proposals, quotes, and sales materials.
• Facilitate internal communication between sales, operations, and fabrication teams.
• Assist with outbound marketing initiatives, including email campaigns.
• Track and follow up on leads generated from marketing campaigns and events.
• Help manage prospect lists and ensure data integrity within the CRM.
• Support reporting on pipeline activity, conversion rates, and sales metrics.
• Serve as a communication bridge between Service, Sales, Operations, and Leadership.
• Prioritize and manage multiple requests in a fast-paced environment.
• Identify opportunities for process improvement across service and sales workflows.
• Support customer experience initiatives to ensure high levels of satisfaction and retention.
• Assist in the development of SOPs and playbooks for service and sales coordination.
• Maintain organized documentation, records, and reporting systems.
• Provide general administrative and operational support as required.
• Over 5 years of experience in a coordination, operations, service, or sales support role.
• Familiarity with service management software (e.g., Service Fusion).
• Experience with CRM systems (e.g., Salesforce, HubSpot, or equivalent).
• Strong organizational and multitasking abilities.
• Excellent communication and customer service skills.
• Ability to work independently and proactively address issues.
• Detail-oriented with a strong ability to follow through on tasks.
• Proficient in Microsoft Office.
• Background in healthcare, medical equipment, or field service environments is preferred.
• Experience in supporting mobile operations, logistics, or scheduling is preferred.
• Familiarity with quoting, procurement, or vendor management is preferred.
• Exposure to marketing coordination or outbound sales support is preferred.
