This is a fully remote position, open to applicants in Canada.
• Take charge of proactive sourcing for BCBA and Clinical Director roles — engaging in direct outreach through LinkedIn Recruiter, BACB directories, ABA-specific job boards, and cultivating referrals in areas with limited and competitive licensed clinical talent.
• Develop and sustain evergreen pipelines for BCBAs in Massachusetts and Missouri, featuring pre-qualified passive candidates in advance of center openings.
• Source and evaluate candidates for corporate/support positions across operations, finance, and people functions, covering both US-based and Philippines-based roles.
• Monitor sourcing performance metrics by channel (response rates, screen conversion, source-of-hire) and adjust spending and efforts toward the most effective strategies.
• Compose and continually refine outreach messaging that aligns with ANNA's neurodiversity-affirming model, effectively converting passive clinical talent.
• Execute structured phone screenings utilizing ANNA's scorecard system, providing calibrated 1–5 ratings backed by behavioral evidence rather than instinct.
• Manage the entire interview coordination process: scheduling multi-interviewer loops across different time zones, distributing scorecards and candidate materials to interviewers in advance, and ensuring smooth progress without candidate delays.
• Oversee take-home case studies for corporate/support roles throughout the entire process — including distribution, handling candidate inquiries, tracking submissions, and managing candidate payment logistics (note: BCBA and Clinical Director processes do not involve take-home assignments).
• Create and maintain role scorecards, phone screen guides, and interview materials in collaboration with hiring managers, adhering to ANNA's established documentation standards.
• Uphold process integrity: ensure independent evaluator readings are completed before interviewers compare notes, scorecards are filled out within the specified service level agreement, and debrief sessions are scheduled promptly.
• Handle all candidate communications — providing timely updates, managing rejections thoughtfully, and ensuring a candidate experience that aligns with ANNA's brand values.
• Extend job offers and lead negotiation efforts within approved compensation bands, collaborating with the Director of People Operations and hiring managers on any exceptions.
• Oversee the offer-to-start pipeline: conducting background checks, verifying credentials (BCBA certification, licensure), facilitating COR/EOR onboarding transitions, and coordinating start dates with People Operations.
• Monitor and enhance offer acceptance rates, including systematically capturing reasons for declined offers.
• Manage Ashby (ATS) administration: overseeing pipeline stages, automations, scorecard templates, reporting dashboards, and ensuring data hygiene.
• Develop and maintain recruiting SOPs — including sourcing playbooks by role type, documentation of the screen-to-offer process, interview loop templates, and onboarding handoff checklists — to ensure consistent and scalable operations.
• Generate weekly pipeline reports for leadership: detailing requisitions by stage, aging, conversion rates, and forecasts against the hiring plan.
• Utilize AI tools (Claude) as an integral part of the role — drafting materials, organizing evaluation notes, and constructing process documentation in line with ANNA's internal operations.
• A minimum of 5 years of full-cycle recruiting experience, with substantial in-house experience (not limited to agency work).
• Proven track record of successfully recruiting licensed or credentialed healthcare clinicians in competitive talent markets.
• Demonstrated ability in direct sourcing — you independently build pipelines instead of relying on inbound applications or agencies.
• Experience in extending and negotiating job offers, including navigating compensation discussions with clinical candidates.
• Strong skills in recruiting operations: managing ATS, implementing structured interview processes, creating SOPs, and generating pipeline reports.
• Demonstrated proficiency with AI tools through tangible work products — actively using AI in your recruiting workflow today and capable of showcasing your approach.
• Availability to work core US Eastern hours.
