This is a fully remote position, open to applicants in Portugal.
• Take ownership of and manage our Applicant Tracking System (Lever), ensuring that candidate statuses, workflows, settings, and configurations are precise and up-to-date.
• Continuously enhance and optimize the use of Lever, focusing on reporting, automation, and process improvements.
• Collaborate with hiring managers and teams to create hiring plans and strategies, including job descriptions, interview plans, feedback forms and scorecards, application questions, interview questions, and take-home assignments (if applicable).
• Write, post, and oversee job openings in Lever and other relevant job platforms.
• Organize interviews across teams, which includes scheduling, preparing interviewers, and communicating with candidates.
• Gather, monitor, and synthesize interview feedback to facilitate timely and informed hiring decisions.
• Guide candidates through the complete hiring lifecycle, ensuring a seamless, thoughtful, and consistent candidate experience.
• Conduct reference checks for final candidates and document the outcomes.
• Collaborate with Finance to secure budget approvals and funding for job postings and recruiting-related tools.
• Assist with administrative and operational tasks within People Ops.
• Maintain and update People systems and tools, including employee data and organizational charts.
• Organize monthly team-building and engagement activities, managing logistics and communication.
• Support the documentation, tracking, and process maintenance in People Ops.
• Provide operational assistance across onboarding, offboarding, and internal people-related workflows as necessary.
• 4 to 5 years of experience in recruiting operations, talent roles, or People Ops with a particular focus on recruiting.
• Practical experience managing an Applicant Tracking System (Lever preferred).
• Demonstrated ability to partner with hiring managers and guide them through structured and effective hiring processes.
• Strong organizational and operational abilities with meticulous attention to detail.
• Capability to manage multiple roles, stakeholders, and timelines concurrently.
• Clear, professional communicator with a focus on candidates and team collaboration.
• Comfortable taking ownership of recruiting operations end-to-end while also supporting administrative tasks within People Ops.
• Experience with People Ops tools and systems; familiarity with Deel or similar global People platforms is advantageous.
• Proven experience using AI tools or automation in recruiting workflows (such as sourcing, screening, interview preparation, or ATS optimization) to enhance efficiency and decision-making.
