This is a fully remote position, open to applicants in United States.
• Oversee proposal activities for various federal pursuits concurrently.
• Monitor proposal timelines, action items, and deadlines to guarantee prompt completion of deliverables.
• Assist proposal managers throughout the entire proposal lifecycle from pre-RFP to submission and archival.
• Organize kickoff meetings, review sessions, status meetings, and production schedules.
• Help ensure that proposal efforts remain structured, compliant, and in line with solicitation requirements.
• Perform thorough quality-control reviews of proposal documents before internal review and submission.
• Verify proposal content against solicitation requirements, amendments, and instructions.
• Aid in the development and upkeep of compliance matrices and requirements tracking.
• Ensure that amendments, RFIs, and proposal correspondence are appropriately distributed and stored upon receipt.
• Maintain meticulous attention to detail in all proposal deliverables, trackers, and communications.
• Sustain organized proposal file structures and version control standards.
• Manage proposal templates, resumes, past performance records, graphics, and reusable content libraries.
• Assist in the formatting and production of proposal deliverables using Microsoft Office and Adobe InDesign.
• Resolve document formatting and production issues, escalating concerns when additional support is required.
• Help prepare final submission packages for delivery.
• Collaborate effectively with proposal managers, business development, capture teams, pricing, technical SMEs, subcontractors, and teaming partners.
• Proactively inform proposal leadership and team members of schedule changes, missing information, risks, and action items.
• Ensure visibility and transparency across proposal teams through timely and accurate communication.
• Early escalation of technical, schedule, or production risks to mitigate proposal submission risk.
• Support drafting, editing, and formatting non-technical proposal sections such as Corporate capabilities, Past performance, Management approaches, and Executive summaries.
• Review proposal content for grammar, consistency, formatting, and compliance.
• Contribute to the continuous improvement of proposal processes, templates, trackers, and best practices.
• Assist in refining SOPs, workflows, and proposal management tools.
• Support onboarding and training initiatives for proposal standards and processes as necessary.
• 3–5+ years of experience in federal proposal coordination, proposal management, or related GovCon functions.
• Strong grasp of the federal proposal lifecycle and solicitation requirements.
• Demonstrated ability to manage multiple simultaneous proposal efforts in deadline-driven environments.
• Excellent organizational, communication, proofreading, and editing skills.
• Ability to work independently while fostering strong collaboration across teams.
• Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Required hands-on proficiency with Adobe InDesign, including document formatting and production support.
• Familiarity with FAR/DFARS and federal procurement processes.
• Experience in supporting capture and business development efforts.
• Experience with platforms such as GovWin, SAM.gov, BidSpeed, Egnyte, SharePoint, or similar.
• Background in supporting A/E/C, construction, facilities, IT, or professional services proposals.
• Understanding of small business programs and joint venture environments.
• Indian Preference Exercised: Prairie Band, LLC is subject to Title 22: Employment Code of the Prairie Band Potawatomi Nation. In accordance with Title 22, this position is designated as a TIER 2 position. Preference will be given to individuals as required pursuant to Section 22-2-4(B).
