This is a fully remote position, open to applicants in Philippines.
• Assists in proposal initiatives from the initial notification stage to the final submission for small to medium projects.
• Participates in scheduled kick-off, review, and other pursuit meetings; records action items and broader strategic discussions.
• Issues data requests to subconsultants and manages the information received.
• Aids the Proposal Manager and internal teams in coordinating proposal activities, including timelines and compliance obligations.
• Supports the Proposal Manager in developing and monitoring proposal timelines, deadlines, and action items.
• Facilitates the coordination of proposal reviews under the guidance of the Proposal Manager, including the compilation of drafts and document distribution.
• Assists with the production, formatting, editing, and assembly of proposals.
• Coordinates the completion of corporate forms for proposal submissions.
• Manages data requests from teaming partners and oversees the information received.
• Maintains proposal materials such as resumes, project summaries, text libraries, graphics, and pursuit documentation.
• Conducts basic quality assurance/quality control (QA/QC) reviews for formatting, consistency, and completeness during the proposal development and drafting processes.
• Oversees the proposal closeout process following the submission of a proposal.
• Aids in maintaining employee resumes, project data, and credentials within the Department's master documents.
• Contributes to the upkeep of proposal templates, archives, and tools.
• At least 1 year of experience in proposals, marketing, business development support, or administrative roles.
• Experience dealing with documents, formatting, or coordination tasks in a professional setting.
• Proficient in Microsoft Office Suite.
• Basic knowledge of Adobe InDesign or a willingness to learn.
• Strong attention to detail along with document formatting skills.
• Excellent organizational and time management abilities.
• Capable of managing multiple tasks and deadlines with assistance.
• Strong written and verbal communication skills.
• Ability to collaborate effectively in a team setting.
• Capable of adhering to established processes, templates, and guidelines.
