This is a fully remote position, open to applicants in United States.
• Lead the creation of standard submittals.
• Ensure the content is in line with RFP requirements, client expectations, and company standards.
• Organize and facilitate proposal review meetings, including kickoff and quality assessment sessions.
• Act as the main point of contact for proposal initiatives, collaborating with internal teams and external partners as necessary.
• Work closely with the Proposal Manager to aid in the planning, coordination, and execution of high-stakes, strategic proposals, ensuring compliance with client needs and internal quality benchmarks.
• Duties may involve coordinating the timely gathering of resumes, project descriptions, and administrative content, ensuring accurate and comprehensive integration into final proposals.
• Compose, edit, and enhance technical and marketing content, such as resumes, project descriptions, and executive summaries.
• Maintain and improve a library of reusable content, including resumes, project sheets, and standard responses.
• Identify and suggest enhancements in proposal workflows, templates, and tools to boost efficiency and effectiveness.
• Collaborate with technical teams, proposal staff, and leadership to collect information and ensure alignment with project strategies.
• Review proposals for accuracy, compliance, and consistency with branding and industry standards.
• Develop and oversee proposal timelines, ensuring that deadlines are met.
• Bachelor’s degree in Marketing, Communications, Business, or a related field.
• 3-5 years of experience in proposal coordination, with a focus on the AEC industry.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Creative Suite (InDesign).
• Strong organizational abilities.
• Excellent writing, editing, and communication skills.
• Exceptional attention to detail.
• Proven capability to handle multiple projects under tight deadlines in a fast-paced setting.
• Experience with proposal management and CRM software (e.g., Deltek Vantagepoint). (Preferred)
• Familiarity with federal, state, and local government procurement processes and compliance requirements. (Preferred)
• Understanding of AEC terminology, processes, and standards (Preferred)
• Creative design skills (Preferred)
