This is a fully remote position, open to applicants in New York.
• Act as the primary internal contact and operational collaborator for various projects
• Collaborate with strategic, creative, technology, operations, accounting, and administrative teams
• Independently lead projects, with potential support from an Assistant Project Manager
• Oversee intricate projects and manage a more extensive portfolio of business
• Make decisions concerning project processes, timelines, budgets, and resources
• Manage the complete project development lifecycle in accordance with business processes and quality standards
• Prepare and submit medical/legal documentation following client specifications
• Develop project status reports and provide updates to both internal and external stakeholders
• Facilitate daily and weekly production meetings
• Maintain project management record systems, including FinancialForce, Ziflow, and CRM
• Drive initiatives for process improvement
• Establish project milestones and detailed timelines, ensuring all deliverables are achieved
• Create staffing plans while keeping deliverables within budget
• Monitor project and campaign budgets on a weekly basis
• Conduct monthly internal reconciliation meetings and prepare client budget reports
• Identify and mitigate potential project risks
• Manage relationships with vendors and agency partners
• Coordinate internal and external resources alongside the resourcing manager and other project managers
• Review monthly staffing forecasts
• Present capabilities and processes to internal and external audiences
• Cultivate relationships with development teams, vendors, agency partners, and clients
• Assist in the training of Assistant Project Managers
• Supervise an Assistant Project Manager, including conducting bi-weekly one-on-one meetings
• A minimum of 4 years of relevant experience
• Experience in a pharmaceutical marketing agency is essential
• Agency of Record (AOR) experience is preferred
• Bachelor's degree (BA) is required
• Proven experience managing large, cross-functional teams across account services, creative, strategy, database, interactive, and print production
• Experience collaborating with multiple vendors and managing their timelines and requirements
• Proficiency in MS Project or SmartSheets is necessary
• Advanced experience with a project management financial platform
• Strong Excel skills are required
• Demonstrated experience leading process improvement initiatives
