• Oversee the complete payroll process: timekeeping intake, gross-to-net calculations, off-cycle runs, terminations, bonuses, and retro pay.
• Ensure compliance with federal, state, and local tax regulations: manage withholdings, deposits, quarterly returns (941, state equivalents), and year-end documents (W-2, W-3, 1099).
• Handle multi-state payroll tasks: track nexus, understand reciprocity rules, manage SUI rates, and local taxes.
• Administer garnishments, benefit deductions, 401(k) contributions, and third-party sick pay.
• Maintain quality and accountability: produce audit-ready records, conduct variance reviews, and perform reconciliations to the general ledger.
• Respond to agency notices, manage amendments, and provide clients with clear options and timelines to keep them at ease.
• Oversee payroll personnel: delegate tasks, review outputs, and offer timely, constructive feedback.
• Educate team members on payroll systems, tax regulations, and organizational processes.
• Document evaluations and performance reviews; mentor staff for advancement opportunities.
• Implement and enhance payroll processing systems.
• A bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• 3–5 years of payroll experience, including handling multi-state and multi-client cycles.
• Experience in a supervisory role leading a payroll team.
• Intermediate to advanced knowledge of payroll with strong problem-solving abilities.
• Proficiency with payroll software (e.g., Gusto, ADP, Paychex, QuickBooks Payroll, Rippling) and cloud accounting tools.
• Strong skills in Excel/Google Sheets (including lookups and pivots).
• Excellent written and spoken English; client-facing communication skills.
• Willingness to work during U.S. business hours (night shift, PH-based).
