• Manage payroll cycles from start to finish: timekeeping intake, gross-to-net calculations, off-cycle runs, terminations, bonuses, and retroactive pay.
• Ensure compliance with federal, state, and local tax regulations, including withholdings, deposits, quarterly returns (941 and state equivalents), and year-end processes (W-2, W-3, 1099).
• Oversee multi-state payroll, including nexus tracking, reciprocity rules, SUI rates, and local taxation.
• Handle garnishments, benefit deductions, 401(k) remittances, and third-party sick pay.
• Maintain quality and sign-off processes: audit-ready records, variance reviews, and reconciliations to the general ledger.
• Supervise payroll team members by assigning tasks, reviewing their work, and providing timely and constructive feedback.
• Train team members on payroll systems, tax regulations, and internal processes.
• Document performance evaluations and appraisals while coaching staff towards career advancement.
• Implement and enhance payroll processing systems for efficiency.
• Standardize standard operating procedures (SOPs), checklists, and review processes.
• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• 3–5 years of experience in payroll, including handling multi-state and multi-client cycles.
• Prior supervisory experience in leading a payroll team.
• Intermediate to advanced knowledge of payroll practices with strong problem-solving abilities.
• Proficient with payroll platforms such as Gusto, ADP, Paychex, QuickBooks Payroll, and Rippling, along with cloud accounting tools.
• Strong skills in Excel and Google Sheets, including lookups and pivot tables.
• Excellent written and verbal communication skills in English, with a client-facing demeanor.
• Willingness to work U.S. business hours, including night shifts for PH-based employees.
