This is a fully remote position, open to applicants in Florida, +5 more states.
• Perform pre-audit assessments of yearly expense reconciliations to ensure accuracy and compliance with lease agreements.
• Evaluate common area maintenance (CAM), operating expenses, real estate taxes, insurance, utilities, maintenance/repair costs, and capital expenditures.
• Analyze lease terms that govern landlord expense pass-throughs.
• Request and examine landlord documentation, which includes general ledgers, tax bills, insurance papers, utility invoices, amortization schedules, and estimates.
• Maintain communication with landlord representatives during audit processes and dispute resolutions.
• Conduct thorough expense evaluations utilizing standardized checklists and year-over-year variance analysis worksheets.
• Work in conjunction with Lease Analysts to provide updates on audit progress, findings, and recommendations to clients.
• Draft final audit analyses and summaries of findings.
• Create invoices for savings and recovery to be sent to clients.
• Organize and maintain audit files, records, tracking systems, statuses, communications, open issues, closed audits, and realized savings.
• Regularly report audit statuses to internal management.
• Collaborate with landlords, owners, managers, accountants, legal representatives, and risk management personnel on complex audit and lease matters.
• Manage a substantial volume of pre-audits each year.
• Supervise the maintenance of account processes and playbooks alongside the Operations Director.
• Reconcile client payments associated with operating expenses (OPEX), CAM, and taxes.
• Coordinate with international internal teams for joint audits.
• Conduct quality control reviews of Lease Auditor work and assist in resolving disputes.
• Investigate tax websites for GIS/parcel maps and liaise with taxing authorities.
• An associate or bachelor’s degree in business, accounting, real estate, or a related field is preferred.
• A minimum of 5 years of relevant experience in commercial real estate lease administration and/or the paralegal, accounting, or property management sectors is preferred.
• Experience in either the landlord or tenant sector is necessary.
• Entry-level skills in managing and executing lease audits related to OPEX, CAM, RET, insurance, and utilities are required.
• Familiarity with conducting pre-audit reviews of annual expense reconciliations is essential.
• Strong understanding of commercial lease terminology and expense pass-through provisions is required.
• Knowledge of Proportionate Share, Management and Administrative fees, Base Years, gross-up provisions, caps, amortization of capital expenditures, GLA, GLOA, and co-tenancy is crucial.
• Familiarity with various lease types including commercial, retail, medical, and industrial is necessary.
• Basic understanding of Stark Laws as they pertain to medical clients is preferred.
• Experience with commercial real estate database applications such as ProLease, Harbor Flex, or CoStar is beneficial.
• Proficiency in accounting software like MRI or Yardi, or other lease management database systems is advantageous.
• Ability to work with NNN and Base Year leases is required.
• Capability to investigate tax websites for GIS/parcel maps and communicate with taxing authorities is necessary.
• Must be authorized to work in the United States on a full-time basis.
