This is a fully remote position, open to applicants in Colorado, +2 more states.
• Oversee the planning, execution, and post-event analysis for conferences, partner summits, executive meetings, vendor showcases, and customer engagement activities.
• Organize events that range from intimate meetings to intricate multi-day conferences for as many as 400 participants.
• Create event timelines, agendas, strategies for registration, and communication plans.
• Handle venue sourcing, contract discussions, room configurations, hotel room reservations, catering, transportation, audiovisual needs, signage, branding, and on-site operations.
• Manage event materials, logistics for shipping, attendee communication, and staffing on-site.
• Facilitate pre-event planning meetings and conduct post-event evaluations.
• Coordinate communications with customers, vendors, and internal teams before, during, and after events.
• Create and oversee event budgets of up to $1 million per event.
• Negotiate with venues and vendors, assess estimates, process invoices, reconcile expenses, and generate post-event financial reports.
• Execute events within budget constraints while optimizing ROI and stakeholder value.
• Collaborate with Sales, Vendor Management, Marketing, and Leadership teams to ensure event strategies align with business goals.
• Work with sponsors, vendors, and external partners to enhance engagement and contribute to event success.
• Manage communications with presenters, presentation requirements, and event production timelines.
• Supervise venue audiovisual teams and production partners for in-person, virtual, and hybrid events.
• Gather and evaluate feedback from attendees, sponsors, and partners.
• Assess event outcomes, sponsorship value, engagement levels, and ROI.
• Offer suggestions for enhancing future events and programs.
• A bachelor's degree in Hospitality, Marketing, Business, or a related discipline.
• A minimum of 4 years of experience in event management, conference planning, hospitality, field marketing, or similar marketing positions.
• Demonstrated experience in managing corporate events from initial concept to execution and subsequent analysis.
• Experience in managing substantial event budgets, particularly for large-scale conferences.
• Strong project management, organizational, and multitasking abilities with a keen eye for detail.
• Exceptional written, verbal, and interpersonal communication skills.
• Capacity to work both independently and collaboratively within a dynamic environment.
• A strong customer service orientation and the ability to stay composed under pressure.
• Willingness to travel across North America (up to 20%).
• Preferred experience in the hospitality industry with a focus on planning and managing large corporate conferences.
• Preferred familiarity with the technology and channel/distribution sectors.
• Preferred experience in sponsorship management and strategies for engaging attendees.
• Preferred proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word).
• Preferred experience with project management software (Wrike, Asana, or similar).
• Preferred familiarity with CRM systems (Zoho or similar).
• Cvent experience is preferred for event registration and management.
