Scheduling & Staffing Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Handle incoming Back-Up Care (BUC) reservations through the Bright Horizons online portal

• Engage with caregivers to verify assignments, particularly for urgent and emergency shifts

• Oversee call-outs for BUC, On-Call Sitters, and Nanny Placements, ensuring timely coverage

• Keep track of open orders utilizing the Jovie Scheduling Dashboard and mobile application

• Collaborate with Bright Horizons and families regarding cancellations, rescheduling, and last-minute adjustments

• Review and update scheduling records within the Bright Horizons portal and MyJovie platform

• Monitor and reply to emails from Bright Horizons, families, and internal staff

• Employ the MyJovie message center, phone, and email to ensure effective communication

• Provide administrative and digital operations support as scheduling workload allows

• Organize and maintain internal tools such as Google Drive and Monday.com

• Assist with B2B outreach and recruitment efforts, including conducting reference checks

• Contribute to technology automation, process enhancement, and market research initiatives

• Previous experience in scheduling, staffing coordination, or client services is preferred

• Proficient in Google Workspace, including Docs and Sheets

• Comfortable utilizing email tools and web-based platforms

• Eagerness to learn new systems

• Clear, professional, and responsive written and verbal communication skills

• Exceptional attention to detail, timelines, and task completion

• Ability to manage high-pressure, time-sensitive scheduling requirements

• Proactive and resourceful in problem-solving

• Team-oriented attitude with a willingness to contribute to a growing, dynamic team

• Knowledge of the childcare industry or similar service sectors is a plus
